Become a developer **Your API Key**[](https://akaunting.com/hc/docs/getting-started/the-account-dashboard/#your-api-key) ------------------------------------------------------------------------------------------------------ The API key is a unique set of alpha-numeric numbers that contains every detail of your account. If you are an Akaunting On-Premise user, you need the API key to access the App Store and install apps. It is also used to verify your [On-Premise plan](https://akaunting.com/plans-on-premise) . You can access a company dashboard by clicking **Login** on any company. **Installed Apps**[](https://akaunting.com/hc/docs/getting-started/the-account-dashboard/#installed-apps) ---------------------------------------------------------------------------------------------------------- The apps tab lists your installed apps and their statuses – Active or Inactive. Also, you can change your profile name, email address, and password. You can assign a role (manager, accountant, employee) to a profile if you manage multiple companies. Additionally, you can set a default dashboard and language on the profile page. * **Plans** You can access the [Akaunting pricing plans](https://app.clickup.com/4755221/v/dc/4h3rn-18421/4h3rn-133080) page. * **Users** Invite users to your company as managers, accountants, or employees and control the dashboards each can access. On the Standard plan, you can only invite one person – an accountant, manager, customer or employee. * **Roles** The Four default roles on the Akaunting Standard plan are Accountant, Customer, Employee, and Manager. To set up a 2FA login process on Akaunting, you need the Google Authenticator app on your smartphone. Install the Google Auth App from your smartphone’s app store. Then, click on **Generate Two Factor Authentication code**. Scan the barcode or enter the alphanumeric code displayed on Akaunting into the Google Authenticator app. Enter the automatically generated pin from the App and click on **Enable 2FA.** You’ll be requested to enter a 2FA pin from the authentication app each time you want to log in. * **Tickets** Akaunting has a large community of expert developers ready to assist or respond to your questions. You can submit a ticket by clicking on **New Tickets.** Select the App for which you are submitting a ticket. Define the subject and leave details. Then, **Save**. Your tickets are left open until resolved by our team of experts. * **Subscriptions** See all your app subscriptions and their statuses. You can take actions like renewing or paying for a subscription. Clicking on a subscription allows you to see details and generate an invoice. * **Rewards** Akaunting has a referral program that rewards users who invite up to 5 people to sign-up. The reward tab has details of your Referral link and Earnings. You can follow the engagement on your Referral link by tracking clicks, sign-ups, and customers. **Sign-ups** tell you those who created a company on Akaunting, while **Customers** inform you about referrals that purchased an app. * **Logout** Log out from your Akaunting account. **Notifications** ----------------- See notifications about updates, new apps, invoices, transactions, and more. **Search** ---------- Conduct a local search of your Akaunting account. **New** ------- The Plus+ icon is a shortcut to quickly create new invoices, expenses, bills, transactions, and Manual journals or add customers, vendors, and transfers. **Settings** ------------ Settings allow you to make changes and define default settings for your account. Enter the item name, description, quantity, and price. * The invoice total price is automatically calculated. * After entering the necessary details, click **Save**. Adding Discounts to Invoices ---------------------------- When creating an invoice, you can apply a global discount or limit the discount to specific invoice items. Discounts applied to specific invoice items are called **Line discounts**. To add line discounts to an invoice, you need to enable the feature in the [settings](https://akaunting.com/hc/docs/settings/) : * Go to **Settings** on the **Sidebar** and select **[Localization](https://akaunting.com/hc/docs/settings/localization/) .** * On the Localization page, scroll down to **Other > Discount Location.** * Select **Both Line and Total** to have both line and global discounts. * Then **Save**. This opens a pop-up window. * In the pop-up window, you can adjust the payment details, such as the **Date, Amount, Payment method**, and **Account**. * Click **Save**. * The Bill status is updated to **Paid** and recorded in your expense account. You can send a payment receipt. However, you must define an email address in the vendor contact details. `_Note that when adding payment to a bill Akaunting will update the bill status as Partial if you record a part payment._` Editing or Deleting Payment on a Bill ------------------------------------- You can Edit or Delete a payment for a Bill. Updated on May 2, 2023 [Invoices and Estimates](https://akaunting.com/hc/docs/invoices-and-estimates/) Adding Payment to an Invoice ============================ Estimated reading: 2 minutes When an invoice recipient makes a payment for an invoice, you can mark that invoice as paid by selecting **Add payment** on the invoice details page. Adding Payment to an Invoice: * Go to **Sales** on the **Navigation Menu** and select **Invoices**. * On the Invoices page, click on an Invoice to display invoice details. ![Adding Payment to an Invoice](https://assets.akaunting.com/hc/2023/04/06160741/add-payment.png) * In the **Get Paid** section, select **Add Payment.** (_Ensure you have confirmed payment from the recipient before completing this action_.) * Enter the required details in the Add Payment pop-up window. **Date**, **Amount**, **Payment method,** and **Account** are compulsory fields. * Switch Tabs on the pop-up window from **General** to **Other** for payment description, Transaction Number, and Reference. * Then, **Save**. * Once saved, the Invoice status is updated to Paid. To accept online payments on Akaunting, add your preferred [payment methods](https://akaunting.com/apps/categories/payment-method) . **Deleting Invoice Payment** ---------------------------- If an invoice was marked as paid without payment confirmation, you could delete the payment. ![Deleting Invoice Payment](https://assets.akaunting.com/hc/2023/04/06160837/delete-payment-2048x1205.png) * On the Invoices page, click on the Invoice with **Paid** status to display details. * In the Get Paid section, select **Delete Payment.** * A pop-up window prompts confirmation. * Click **Delete** to confirm. * Once deleted, the Invoice status returns to Sent. Once you log in to your company’s dashboard, go to **Purchases** on the navigation menu bar. * Click **Purchases** to reveal a drop-down menu. * Select **Bills.** * From the Bills dashboard, click **New Bill**. * Enter the required billing details. * Required bill details include **Vendor**, **Date, Bill number, and Item number.** * Add a vendor to the Bill by selecting **Add a Vendor.** ![creating a bill on Akaunting](https://assets.akaunting.com/hc/2023/04/07113143/creating-bill.png) * Click on **New Vendor,** and enter the vendor details – Name, Email, Number, Tax number, Payment Currency, and others, as desired. * Then, **Save**. * Click on **Add an Item** to add services or products. Enter the item name, description, quantity, and price. * The Bill’s total price is automatically calculated. * After entering the necessary details, click **Save**. You can use the **Notes** box to add instructions to Bills. The **Advanced** option lets you define a **Footer**, **Category** and upload **Attachments** if necessary. Adding Discounts to Bills ------------------------- When creating a Bill, you can apply a global discount or limit the discount to specific bill item(s). Discounts applied to specific items are called **Line discounts**. To add line discounts to a bill, you need to enable the feature in the settings: * Go to **Settings** on the **Sidebar** and select **Localization.** * On the Localization page, scroll down to **Other > Discount Location.** * Select **Both Line and Total** to have both line and global discounts. * Then **Save**. Now, to add a Line discount: * Select **New Item** while creating a bill**.** Enter details of your product or services – name, description, quantity, and amount. * Below the **Quantity** input box, click on **Add discount.** * Enter the discount in percentage or currency amount. * The total discount is automatically calculated on the bill. **Adding Taxes to Invoices** ---------------------------- * Select **New Item** while creating a bill**.** Enter details of your product or services – name, description, quantity, and amount. * Below the **Price** input box, click on **Add Tax.** * Click on **New Tax** from the dropdown options and required details – Name and Rate (in percentage). * Then, **Save.** * The added Tax is automatically applied to the total bill amount. **Changing the Color of a Bill** -------------------------------- While creating a Bill, you can customize the color to match brand colors. * On the New Bill Page, scroll down to Advanced. * Click Advanced to expand. * Click the Color icon to see an extended color palette, or Enter the color code manually. * Then, Save. The Bills dashboard displays an overview of overdue, open, and draft bills. You can also see a list of all your bills. ![Managing Bills: Manage your bills on Akaunting](https://assets.akaunting.com/hc/2023/04/07114101/image-6.png) Managing Bills: * Go to **Purchases** on the **Navigation menu** and select **Bills** from the drop-down options. * On the Bills dashboard, Bills are sorted by **Date**, **Status**, **Vendor, Bill number,** and **Amount**. * Hover on a Bill to reveal the options to **Edit**, **Duplicate**, and **Add payment**. * Click the three dots to reveal more options – **Print, Download PDF, Cancel, and Delete.** Checking Bill’s checkbox reveals options just above the Bills listing. You can mark Mark as Received, Cancel, Delete, or Export bills. **Editing a Bill** ------------------ * Click on a Bill on the Bills dashboard. * On the Bill detail page, select **Edit** in the top right corner. * Update the necessary details. * Then, **Save**. From the Bill details page, you can find the options to **Duplicate, Print, Download pdf, Cancel,** or **Delete** a Bill by clicking on the three dots at the top right corner. _Scan paper invoices/bills with [Receipts](https://akaunting.com/apps/receipt) ._ **Changing the status of a Bill** --------------------------------- By default, created bills have the **Draft** status. Changing the status to **Paid** requires adding a payment. Recipients of invoices have the option of paying you through online payment methods.
