More details and an official announcement are coming soon 🎉 On this page You can find a beautiful visual habit tracker in our apps. Habits are activities you perform regularly and usually serve to improve your skills, organization, health, or well-being. ![Habit tracker](https://lunatask.app/assets/images/screenshot-2-2148c3097b2af26955aaa67f2c83eb38.png) \*\* ⚡️ Unlimited number of habits is available on Premium plan – Free plan is limited to seven habits\*\* You can interact with your habits either in the habit tracker or via the [habit widget](https://lunatask.app/docs/features/habits#manual-scheduling) at the bottom of the calendar in the tasks section of the app. To track an activity, double-click on a particular day in the habit tracker or click the complete icon present on each habit block on the [calendar](https://lunatask.app/docs/features/calendar) . Types of habits[](https://lunatask.app/docs/features/habits#types-of-habits "Direct link to Types of habits") --------------------------------------------------------------------------------------------------------------- We differentiate between daily and weekly habits. Each habit, whether it’s a daily or weekly one, can be also marked as a “once” or “many-times” habit, or as a “bad” habit. ### Daily habits[](https://lunatask.app/docs/features/habits#daily-habits "Direct link to Daily habits") Daily habits are tracked once or many times per day. You can also set up a custom recurrence for daily habits – for example, water the plants but only every Tuesday and Friday. info A bit counter-intuitively, a habit that’s recurring once a week on Sunday is still considered a daily habit, as it’s tracked per individual day, not per the whole week. ### Weekly habits[](https://lunatask.app/docs/features/habits#weekly-habits "Direct link to Weekly habits") **⚡️ Weekly habits are a feature available on Premium plan** Weekly habits aren’t tracked per individual days but per whole week and it doesn’t matter on which day you track them. For example, you might want to read a book twice a week regardless of the day – you care only that on Sunday you have two activities tracked for that week. You would use a [many-times](https://lunatask.app/docs/features/habits#many-times-habits) weekly habit with the goal set to 2. tip Curious which exact days you tracked a weekly habit? Just temporarily switch it to a “daily” habit. You can think of weekly habits as essentially a different view on top of daily ones, and therefore switch between them back and forth freely anytime — a neat little hidden trick 💡 ### “Many-times” habits[](https://lunatask.app/docs/features/habits#many-times-habits "Direct link to “Many-times” habits") Our habit tracker differentiates between “once” and “many-times” habits. While “once” habits can be tracked only once in a given period (per day or week) and are considered complete when a single activity is tracked, “many-times” habits, as the name suggests, can be tracked multiple times within a single period, i.e. “Take medication three times a day”. To make a habit a many-times habit, open habit detail by hovering over the name of the habit in the list and click the settings icon that shows up. There, set “allow to track” to “many times”. To track an activity, simply double-click on a specific date. Removing accidentally tracked habit To remove tracked activity or to decrease activity count for the day, hold `Alt` / `Option` key while double-clicking on a specific day in our desktop app. On mobile, long-press the checkbox – it will decrease activity count instead of increasing it. info You can optionally also set a goal for many-times habits. For example, if the goal is set to “3”, Lunatask won’t consider the habit complete until three activities are tracked within the period. Setting the goal for many-times habits is important, so your [current and record streaks](https://lunatask.app/docs/features/habits#streaks) are calculated correctly. ### Bad habits[](https://lunatask.app/docs/features/habits#bad-habits "Direct link to Bad habits") Bad habits are habits you want to get rid of – they’re the opposite of regular habits. Bad habits don’t show in the [habit widget](https://lunatask.app/docs/features/habits#manual-scheduling) and can’t be [scheduled](https://lunatask.app/docs/features/habits#scheduling) onto the calendar. They also don’t count into the number of incomplete habits on the habit tracker menu item (see our article on [badges and notifications](https://lunatask.app/docs/features/notifications) for more information), and current/record streaks aren’t calculated for them. tip It might be more convenient to flip the habit and track it as a positive one, for example, “Avoided smoking today”. Though a bad habit is useful if you want to track how many cigarettes you smoked – you would use a many-times bad habit for that. ### Habits vs recurring tasks[](https://lunatask.app/docs/features/habits#habits-vs-recurring-tasks "Direct link to Habits vs recurring tasks") Both habits and [recurring tasks](https://lunatask.app/docs/features/tasks/recurring-tasks) are activities you regularly perform at set intervals, so they naturally overlap. It’s up to you whether you decide to use a habit or recurring task for a specific activity. There are some considerations that might help you to pick one over the other: * Habits show your current and record streak (the number of consecutive periods in a row – usually days – you completed the habit) to keep you motivated to beat your past best, recurring tasks don’t * Habits can be scheduled on the calendar automatically every day, whereas for recurring tasks to appear on the calendar, they have to be scheduled each morning manually * Recurring tasks have more flexible recurrence scheduling options, like _“every month on the last day”_ or _“every three weeks on Tuesday”_ – these complex recurrence rules can’t currently be achieved or set up for habits * There are features on our roadmap that will bring deeper integration between our habit and mood trackers. For example, our apps will be able to find correlations between your habits and your mood or energy levels, and answer questions such as _“Does taking a food supplement X affect me in any way?”_ – these won’t be available for recurring tasks. Streaks[](https://lunatask.app/docs/features/habits#streaks "Direct link to Streaks") --------------------------------------------------------------------------------------- We often get asked what the numbers in the habit tracker represent. The number on the last activity in a block of consecutive activities is your current streak, and the number all the way on the right is your past record streak. These serve to motivate you to beat your past best. info The current streak isn’t shown for [many-times habits](https://lunatask.app/docs/features/habits#many-times-habits) . Instead, the number represents the number of times the activity was tracked in a given period. Routines[](https://lunatask.app/docs/features/habits#routines "Direct link to Routines") ------------------------------------------------------------------------------------------ Habits can be grouped into routines. We call them habit groups in our apps and the feature is currently very basic. caution Habit groups aren’t available in our mobile app. Scheduling[](https://lunatask.app/docs/features/habits#scheduling "Direct link to Scheduling") ------------------------------------------------------------------------------------------------ Like [time blocking](https://lunatask.app/docs/features/tasks/scheduling/time-blocking) of tasks, habits can be planned into your day between your meetings and tasks using the calendar. This way, you will also get notifications/reminders to complete your habits. There are two ways to schedule your habits – either you can manually schedule your habits onto the calendar every morning, or you can set up a schedule so your habits appear on the calendar automatically at set times each day. tip Hovering over a time-block for a habit on the calendar will show an icon to complete the habit. Once the habit is completed, and an activity is tracked, the time-block will be removed from the calendar. ### Manual scheduling[](https://lunatask.app/docs/features/habits#manual-scheduling "Direct link to Manual scheduling") To manually plan habits into your day, use the habit widget at the bottom of the calendar. The habit widget serves three purposes: * You can use it to drag your habits onto the calendar * It brings your habits to your task list where it’s likely you spend most of your day, so you don’t forget about them * You can complete/skip your habits throughout the day directly from the habit widget without the need to switch to the habit tracker The habit widget shows your habits one by one in the order they’re defined in the habit tracker. When the habit is completed or skipped, the habit widget will show the next habit in line. When the habit is dragged onto the calendar at a future time, the habit widget will also start showing the next habit for you to decide what to do with it. info The habit widget always shows the habit that needs your attention next. So if you planned your first habit at a future time, it now shows your second habit. But, when the time comes and you did not complete the first habit as planned, the habit widget will now start showing the first habit again as the habit that needs your attention – you can either complete or skip the first habit directly from the habit widget, or drag it onto the calendar again at some future time. ### Automatic scheduling[](https://lunatask.app/docs/features/habits#automatic-scheduling "Direct link to Automatic scheduling") Manually scheduling your habits every morning might get tedious – especially if you perform the habit always at the same time every day. Luckily, you can set up a schedule so your habit appears on the calendar at set times automatically each day. To set up the schedule, open habit detail by hovering over the name of the habit in the list and clicking the settings icon. Then, in the habit detail, set “at time” to any time of day you wish, e.g. 8:30 AM. Optionally, you can set a time needed (in minutes) as well – this will affect how long the habit appears in the calendar (15 minutes is the default when not set). ![Habit scheduling](https://lunatask.app/assets/images/habit-scheduling-cb34465bd449a4cf3f3d3033adfb0bc6.png) info [Many-times habits](https://lunatask.app/docs/features/habits#many-times-habits) allow setting multiple times of day depending on their set goal. caution The field for “at time” doesn’t respect the time-display format set in the settings (whether you’re using 12h or 24h time format). Instead, it takes the format from your system locale/region. It’s a limitation of our current implementation. FAQ[](https://lunatask.app/docs/features/habits#faq "Direct link to FAQ") --------------------------------------------------------------------------- ### Why do I need to double-click to track an activity?[](https://lunatask.app/docs/features/habits#why-do-i-need-to-double-click-to-track-an-activity "Direct link to Why do I need to double-click to track an activity?") It’s a double-click instead of a single click to avoid accidental clicks when switching from other windows, closing dropdowns by clicking outside them, etc. tip When `Space` or `Shift` is held, our habit tracker switches to a single-click mode, which is useful when entering many activities at once. * [Types of habits](https://lunatask.app/docs/features/habits#types-of-habits) * [Daily habits](https://lunatask.app/docs/features/habits#daily-habits) * [Weekly habits](https://lunatask.app/docs/features/habits#weekly-habits) * [“Many-times” habits](https://lunatask.app/docs/features/habits#many-times-habits) * [Bad habits](https://lunatask.app/docs/features/habits#bad-habits) * [Habits vs recurring tasks](https://lunatask.app/docs/features/habits#habits-vs-recurring-tasks) * [Streaks](https://lunatask.app/docs/features/habits#streaks) * [Routines](https://lunatask.app/docs/features/habits#routines) * [Scheduling](https://lunatask.app/docs/features/habits#scheduling) * [Manual scheduling](https://lunatask.app/docs/features/habits#manual-scheduling) * [Automatic scheduling](https://lunatask.app/docs/features/habits#automatic-scheduling) * [FAQ](https://lunatask.app/docs/features/habits#faq) * [Why do I need to double-click to track an activity?](https://lunatask.app/docs/features/habits#why-do-i-need-to-double-click-to-track-an-activity) --- # Email integration | Lunatask [Skip to main content](https://lunatask.app/docs/features/integrations/email-integration#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. This FAQ answers other common questions and reports we receive 👇 ### Bugs and common issues[](https://lunatask.app/docs/common-questions#bugs-and-common-issues "Direct link to Bugs and common issues") 1. Login email with a one-time sign-in code isn’t arriving Please check your spam folder first. If the email is still nowhere to be found, **please wait ten minutes**, or more (in rare cases). It can happen from time to time that there’s a slight temporary delay in delivering emails to your email provider – it’s rare but normal. Our systems will keep trying until the email is successfully delivered. If there’s still no email after some time, you can [send us a message](https://lunatask.app/contact) and we’ll check what went wrong with the email – no problem at all! 2. The app asked me to login again and now my data is gone! Since login is done via a one-time sign-in code sent to your mailbox, there are no separate signup and login flows, and accounts are provisioned on the fly when you log in for the first time. Because of that, people who have multiple email addresses sometimes accidentally create a new account when they use the wrong address. Perhaps your account and data safely lives under your Yahoo address instead of your Gmail one? Please double-check your email address. You can do that, for example, by searching your mailbox for past login emails from Lunatask — if you don’t find any, you know it’s the wrong mailbox. 3. Notifications don’t work in the mobile app Make sure you have notifications enabled in _**Settings → Notifications**_ for both tasks placed on your calendar and scheduled habits. Notifications aren’t enabled by default. **Note for users on alternative Android distributions:** Our recently released Android app uses Google Play Services for notification delivery – to receive notifications on alternative Android distributions, Google Play Services must be enabled. Since we’re a small team of two, and given our current resource and time constraints, we don’t plan to introduce an alternative notification delivery system at this time – we appreciate your understanding! 4. I can’t log in with my password on GrapheneOS or in Lockdown Mode on iOS Lunatask uses argon2 key derivation function for password hashing as part of our encryption toolchain, implemented in WebAssembly. If you’re using Lockdown Mode on iOS, add an app exception in _**Settings → Privacy & Security → Lockdown Mode → Configure Web Browsing**_. If you’re using GrapheneOS, please enable JIT for Lunatask in _**Settings → Apps → Lunatask → Exploit protection compatibility mode**_. 5. I see black rectangles instead of text in alerts and confirmation messages on Linux This issue may happen on some systems for those using the snap version of our app. Make sure hardware acceleration is disabled in _**Settings → Diagnostics**_, and try clearing font caches using the following commands: fc-cache -rrm ~/.cache/fontconfig/*sudo rm -f /var/cache/fontconfig/* If that doesn’t help – or the issue comes back after app/system restart and you can’t figure out a workaround – please [download](https://lunatask.app/download) and use the AppImage version of our app instead. 6. Elements have poor contrast with black text on dark background in dark mode on Android We’re aware of these dark mode issues with some components and elements on Android  – it’s a temporary issue that will be fixed soon. Please see more context and updates under [this feature](https://ideas.lunatask.app/c/184) on our Idea Portal 👈 We appreciate your understanding and apologize for the inconvenience in the meantime! ### Help with features, roadmap, etc.[](https://lunatask.app/docs/common-questions#help-with-features-roadmap-etc "Direct link to Help with features, roadmap, etc.") See what’s coming Please check our [Idea Portal](https://ideas.lunatask.app/)  before asking whether a certain feature is coming to Lunatask – if you find it there, add a vote for it instead. How to choose and structure my areas of life? Good question – we have a guide covering this exact topic! See our article on [understanding, choosing, and structuring areas of life](https://lunatask.app/docs/how-to/structure-areas) correctly 👈 8. Can I create reminders for tasks? Absolutely! Lunatask offers several ways to set up reminders, helping you stay on top of future tasks and bring them to your attention when the time comes, so nothing slips through the cracks. See our guide on working with [future tasks and setting up reminders](https://lunatask.app/docs/features/tasks/scheduling/date-based-scheduling) if you’d like to be reminded of a future task on a specific date – learning and understanding this first is essential 👈 If you’re planning your day hour by hour or just want to be reminded of a task at a specific time via desktop or mobile notifications, simply [plan the task into your day](https://lunatask.app/docs/features/tasks/scheduling/time-blocking) . 9. Can I add images to my notes or journal entries? Yes, you can – but please see both our article on [embedding images](https://lunatask.app/docs/features/embed-images) and [this card](https://ideas.lunatask.app/c/57-images-and-file-uploads) on our Idea Portal for more context. 10. What are the numbers next to tasks? They show how many days a task has been around. While it might seem a bit odd at first, they serve an important psychological role – you’ll notice and it becomes clear over time, as it’s an essential part of our [guiding system and approach](https://lunatask.app/docs/features/tasks/overview) . 11. How can I delete an area of life? To delete an [area of life](https://lunatask.app/docs/how-to/structure-areas) , open its settings and scroll down below the option to pick an icon and various other settings: ![Delete areas](https://lunatask.app/assets/images/area-delete-efdcb68d9005aa879beeddb6f643362d.png) 12. Why some tasks have a notch in their checkbox? What’s your design philosophy? In the past, many users asked for an indicator showing that a task has a note (task description) attached. We were hesitant to add another icon next to task names, as it could clutter the UI – and in many cases, wouldn’t be necessary. Ultimately, we came up with a solution that provides an indicator for those who need it without cluttering the UI for those who don’t – hence the subtle notch in the checkbox marking tasks with an attached note. We often hear from users who appreciate the clean, minimalist design of our desktop app. Our philosophy is simple – the best button is no button. That said, it comes with some tradeoffs, as some features may be harder to discover. Examples of this may be the collapsing of sections in your task lists and [relationship tracker](https://lunatask.app/docs/features/relationships) , or our [“tomorrow“ calendar](https://lunatask.app/docs/features/calendar) . While most apps display an arrow icon to collapse or hide a section, we intentionally don’t – you simply click its name to do so. There are many more “hidden“ features, shortcuts, and tricks like that. For the same reason, we’re currently resistant to adding an indicator for recurring tasks, as it’s rarely needed and would add unnecessary clutter for most users. In this case, if you have a recurring task scheduled for this Friday, an indicator showing you will have to do the same task again a week later doesn’t add much value. Focus on what’s needed “now”. When you complete the task on Friday, a new task for next Friday will be added to your list – no extra indicators needed. We understand this approach may make some features less obvious, but we do our best to continuously improve our documentation and onboarding to help – we appreciate your understanding! 13. Is there a way to schedule subtasks? Not currently – but please see the note touching on that in our article on [subtasks](https://lunatask.app/docs/features/tasks/subtasks) . 14. Can I delegate or share tasks or notes with my partner, family, etc? Lunatask is an [end-to-end encrypted](https://lunatask.app/docs/getting-started/privacy) app, making sharing data difficult. This is a common limitation of encrypted apps – encryption and sharing don’t usually work well together. That said, we might make changes to our encryption model allowing task list sharing in the future. **Workaround for some use cases:** It’s currently possible to add tasks to, for example, your children’s lists without being able to access anything in their account – check our [email integration](https://lunatask.app/docs/features/integrations/email-integration) , [Shortcuts](https://lunatask.app/docs/features/integrations/shortcuts) on iOS and Mac, or any of our [other integrations](https://lunatask.app/docs/features/tasks/overview#integrations) . 15. Is there a view of all tasks between all areas and goals, not just current ones? Unfortunately, there isn’t at the moment – Lunatask embraces the philosophy of “less is more”. Although we understand you may want to use this occasionally, we generally don’t want to have many different views on tasks in the app – hence why we offer only the “Next to work on” overview of all current tasks across all areas. 16. I don’t use the journal or relationship tracking. Can I turn them off? Users ask from time to time for the ability to customize Lunatask to have only certain features they use or need. This feature isn’t necessarily challenging from a technical standpoint, but it might have profound implications on what our product is, our business, marketing, who the target persona is for Lunatask, how the app should be priced, etc. It’s a bit of a rabbit hole for us when discussing it and it’s our current product decision not to offer this feature at the moment. Think of it this way: The solution isn’t to disable or hide the journal or habit tracker – the solution is to make them even better, so you can’t resist but to use them :) 17. Why sections hide when there are no tasks in them? I can’t drag and drop tasks easily. Because they would unnecessarily clutter your task list and be distracting – imagine it 👇 While we offer a [workflow with just two sections](https://lunatask.app/docs/features/tasks/workflows#now-later) , others might have 4 or 7 – some [future workflows](https://ideas.lunatask.app/c/6) might even have 10 sections. In addition, our [Kanban workflow](https://lunatask.app/docs/features/tasks/workflows#kanban) is one of the two most commonly used and offers a “Waiting“ section – often rarely or never used by many. **Tip:** Try `Shift+Left` and `Shift+Right` keyboard shortcuts instead – once you learn these, you won’t want to go back 🌟 18. Why keyboard shortcuts for changing status ignore `Waiting` status? Those shortcuts skip `Waiting` status as it’s not part of usual flow. Tasks usually start in `Later`, then you move them into `Next`, eventually start working on them and moving them into `In progress`, and lastly, you mark them as complete. So, `Waiting` status is a special flag that one rarely uses in practice. Having the app move a task from `Later` to `Waiting` as its default behavior wouldn’t make sense and likely be frustrating. 19. Would it be possible to pick a different workflow for one or several of my goals? We totally understand the use case and why you’re asking. However, there’s a logical problem if goals within a single [area of life](https://lunatask.app/docs/how-to/structure-areas) could use different workflows – what should the main list of tasks for that area show then? 💡 Imagine a goal using [Must/Should/Want](https://lunatask.app/docs/features/tasks/workflows#must-should-want) workflow. Now, an important task just came in. You create the task and immediately move it from the workflow’s “Later“ section into your current focus – since it’s an important task, let’s say likely into “Must“. Now switch back to your area list, which uses the [Kanban workflow](https://lunatask.app/docs/features/tasks/workflows#kanban) , [Plan Your Days](https://lunatask.app/docs/features/tasks/workflows#plan-your-days) , [Eisenhower Matrix](https://lunatask.app/docs/features/tasks/workflows#eisenhower-matrix) , or another workflow. From the area list’s perspective using Kanban workflow, the task has Kanban’s “Later“ status. Or when using Plan Your Days, the task is again in that workflow’s “Later“ as no date was ever assigned. When using Eisenhower Matrix… you get the point. If the main area list is meant to provide a prioritized overview of all your tasks, regardless of their [goal or folder they are in](https://lunatask.app/docs/features/tasks/overview#goals) , but each goal uses a different way of organizing or prioritizing, it creates an unsolvable logical paradox. **But remember this:** Although you can’t set each goal to “permanently“ use a different workflow, you can still switch between workflows freely on the fly without anything being lost. We show a different example in our [documentation article](https://lunatask.app/docs/features/tasks/overview#workflows) – one might figure out what’s important using [Eisenhower matrix](https://lunatask.app/docs/features/tasks/workflows#eisenhower-matrix) , assign a date to each task, and then switch to [Plan Your Days](https://lunatask.app/docs/features/tasks/workflows#plan-your-days)  for the rest of the week to work on their tasks. Similar same logic can be applied in other situations. We might be using [Kanban workflow](https://lunatask.app/docs/features/tasks/workflows#kanban) in our “Work“ area, but have a goal (treated as a folder) named “Roadmap“. We keep all our future tasks there, each meticulously prioritized using [Must/Should/Want](https://lunatask.app/docs/features/tasks/workflows#must-should-want) and task priorities. Despite using [Kanban workflow](https://lunatask.app/docs/features/tasks/workflows#kanban) , we can still check our roadmap by switching to the “Roadmap” goal and temporarily switching the workflow to [Must/Should/Want](https://lunatask.app/docs/features/tasks/workflows#must-should-want) . When we finish what we came there to do, we exit the goal and switch back to [Kanban workflow](https://lunatask.app/docs/features/tasks/workflows#kanban) . None of our “Roadmap” tasks show up in our main area list, as from Kanban workflow’s perspective, they all have “Later“ status – their default Kanban status was never changed, and our “Roadmap“ goal is set in its settings to show only its current tasks in the main area list. 20. Are there any plans for integrating tasks and notes more? We’re constantly thinking about how to approach this going forward when priorities allow. [Linking and Deep Linking](https://lunatask.app/docs/features/linking) are now available. We’re also planning a feature that will let you paste text and automatically create a task for each line. For example, you could copy an entire checklist from a note, switch to your task list, and paste it to instantly turn each item into its own task. Another feature on our radar is the ability to embed fully interactive tasks directly within any Markdown document – the same task component you see and interact with in your task list, complete with double-click to open and full task details inside. This would let you create richly detailed, multi-page project plans in your notes (or goal descriptions), with tasks and task lists seamlessly woven throughout the document. Any changes you make to a task in one place would automatically be reflected everywhere else, since it’s the same task – just accessed from different parts of Lunatask. There may be other solutions too – we shall see what the future brings! ### Help with billing, subscriptions, plans, discounts, etc.[](https://lunatask.app/docs/common-questions#help-with-billing-subscriptions-plans-discounts-etc "Direct link to Help with billing, subscriptions, plans, discounts, etc.") See our dedicated FAQ You can redeem a discount code [here](https://lunatask.app/docs/how-to/redeem-discount-code) , request education discount [here](https://lunatask.app/education) – and for any questions related to billing, subscriptions, or discounts, please see our [dedicated FAQ](https://lunatask.app/docs/subscriptions) 👈 ### Other app-related questions[](https://lunatask.app/docs/common-questions#other-app-related-questions "Direct link to Other app-related questions") 21. Is Lunatask available in Portuguese, German, or other language? Can I help with translating? Our apps and documentation are available only in English. We’re a young project, so we have to optimize for development speed – there’s still [so much left to be built](https://ideas.lunatask.app/) . Maintaining localizations or translating each minor text change into all languages would slow our development cycle considerably. For these reasons, we don’t provide localizations in our apps, nor is it on [our roadmap](https://ideas.lunatask.app/) for the next 12 months. We appreciate your understanding! 23. I don’t like the curvy font. Can I change it? We know it has been a controversial choice – we picked it to make the app’s interface more friendly and welcoming. It has been a temporary solution until we find a better alternative or introduce the [option to choose from multiple font combinations](https://ideas.lunatask.app/c/77) for note titles and content – for example, some users may prefer writing in serif fonts for improved readability. But we have good news – we might have already chosen a new font to roll out across the app as part of an upcoming overall design refresh. We can’t share more just yet, but stay tuned! 24. How can I delete my account? To delete your Lunatask account and all its data, please visit [lunatask.app/account-delete](https://lunatask.app/account-delete) 25. Is the app’s icon supposed to represent a pride flag? No, it’s a pure coincidence – the background represents the colorful grid of our [habit tracker](https://lunatask.app/docs/features/habits) . We didn’t realize until one of our users pointed out the similarity. We support the LGBTQ+ cause anyway, so we don’t mind the resemblance, but it wasn’t an intention and there’s certainly no relation. ### Other non app-related questions[](https://lunatask.app/docs/common-questions#other-non-app-related-questions "Direct link to Other non app-related questions") 26. Why do you have a community on Slack and not Reddit or Discord? Our [Slack Community](https://lunatask.app/slack) is where users are much closer to our development, while also providing valuable early feedback, shaping future development direction, and more. Certain tools attract certain kinds of people. Reddit would naturally have a different vibe and bring a different type of community than Slack – the same applies to other tools and apps, like Discord. By its nature as a central communication hub in many tech companies, Slack also attracts more tech-savvy users (developers, designers, testers, etc), as they’re already likely familiar with it and use it daily in their workplaces. 27. More details and an official announcement are coming soon 🎉 On this page Exports and backups[](https://lunatask.app/docs/features/import-export#export "Direct link to Exports and backups") --------------------------------------------------------------------------------------------------------------------- Keeping your data vendor-locked wouldn’t align with our vision for Lunatask. You can export your data for backup or migration elsewhere in _**Settings → Export**_ in our desktop app. Upcoming update The current data export format is somewhat limited, as it was added early on – at a time when not having any export option essentially resulted in unintentional vendor lock. Besides not exporting all entities with all their properties, it tried to find a compromise that would be both human-friendly and machine-friendly – but ultimately fell short of both. We’re currently working on a fully redesigned data export that will include two folders – one for machines, containing a complete account/database dump (therefore also making it backward-importable), and another tailored for use cases humans have. The redesigned data export should arrive soon – keep an eye on the [roadmap](https://ideas.lunatask.app/c/150) 👈 caution The data export format may change in future updates without prior notice – please keep this in mind when building tools or scripts on top of it. Imports[](https://lunatask.app/docs/features/import-export#import "Direct link to Imports") --------------------------------------------------------------------------------------------- We understand that without easy, one-click importers, migrating to Lunatask may feel tedious – but you still don’t have to do it all by hand. Additional context As a small team of two with just one developer, it takes time to bring every idea to life. Building custom native importers or integrations one by one is costly, and our current other priorities don’t allow us to focus on that right now. That’s why we rather focus on building reusable tools that can serve many different use cases at once – whether it’s [Zapier integration](https://lunatask.app/docs/features/integrations/zapier-integration) , [Shortcuts](https://lunatask.app/docs/features/integrations/shortcuts) , [API](https://lunatask.app/api/overview) , or [community-built tools](https://lunatask.app/docs/features/integrations/community-tools) like CLIs, MCP servers, and more – if something can be achieved using these, that’s the way to go. How to import your existing data Since we already provide [APIs](https://lunatask.app/api/overview) for importing tasks, notes, journal entries, and people, there are already many alternative ways to bring in your existing data. You can export your data from your previous app and ask [ChatGPT](https://chatgpt.com/) to generate an import script and guide you step by step on how to use it – it will build a near one-click importer for you in almost no time 💁‍♀️ You may also set up our [Zapier integration](https://lunatask.app/docs/features/integrations/zapier-integration) to create a task for each row in a Google Sheet, or connect it with your previous app directly 👈 Although not one-click solutions, they may well be much easier to use than they seem! 🌟 * [Exports and backups](https://lunatask.app/docs/features/import-export#export) * [Imports](https://lunatask.app/docs/features/import-export#import) --- # Embedding Images | Lunatask [Skip to main content](https://lunatask.app/docs/features/embed-images#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. Due to development and maintenance complexity, we don’t offer our own encrypted storage for your files and images at the moment. For more context, please visit this feature on the [Idea Portal](https://ideas.lunatask.app/c/57-images-and-file-uploads) . To embed an image, it must be available on a publicly accessible URL. You can host your images yourself, or use third-party image storage or file hosting services and drives. We’ve built in support for some popular file storage and drive apps to make it easier to embed images from them. Our apps have special support for Dropbox, Google Drive, Nextcloud and their easy-to-create share links. OneDrive’s Embed URLs work out-of-the-box too, and many more. caution Unfortunately, some drive and storage providers actively prohibit this kind of usage, either out of principle (like iCloud or Google Photos) or for technical reasons (like Proton Drive and their own end-to-end encryption system). In our desktop app, create a new token in _**Settings → Access Tokens**_, click “Copy to clipboard” and paste it above. Minor caution Browser bookmarklets are a bit of an old-school web technology. Instead of containing a link to a webpage, a bookmark stores a small snippet of JavaScript code. When you click the bookmark, that tiny script grabs the title and URL of the page you’re currently viewing and sends them to our [Create Task API](https://lunatask.app/api/tasks-api/create) – that’s literally all it does. But bookmarklets date back decades, and the web has evolved a lot since then – especially around security. Some sites now use a new standard called Content Security Policy (CSP), which lets developers strictly control which external servers a page is allowed to talk to, based on a pre-approved whitelist. Since bookmarklets aren’t a sophisticated technology like browser extensions and run directly in the context of the page you’re on, CSP can interfere and block its requests. If you’re seeing errors like “Failed to load” or “Failed to fetch” when saving a webpage or article to Lunatask on some sites but not others, it’s likely these two technologies clashing – GitHub is a good example of a site that uses CSP, blocking any in-page code from communicating with external services (such as Lunatask API). Extensions typically avoid this conflict – if this becomes an issue, you can switch to one of the community-built [browser extensions](https://lunatask.app/docs/features/integrations/community-tools#browser-extensions) . * [Browser bookmarklet](https://lunatask.app/docs/features/integrations/browser-extension#browser-bookmarklet) * [Generate bookmarklet](https://lunatask.app/docs/features/integrations/browser-extension#generate-bookmarklet) --- # Community integrations and tools | Lunatask [Skip to main content](https://lunatask.app/docs/features/integrations/community-tools#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 On this page You can use [Shortcuts](https://support.apple.com/en-gb/guide/shortcuts/welcome/ios) to create tasks on your Apple devices or set up other helpful automations to streamline your workflow. tip Upon setting up a shortcut, you can trigger it using Spotlight on your Mac. On iOS, shortcuts can be [pinned to your home screen as widgets](https://lunatask.app/docs/features/integrations/widget) , or run via [Siri](https://lunatask.app/docs/features/integrations/voice-assistants) on your Apple Watch or HomePod. info The following guide walks you through setting up a simple shortcut for creating a task. You can follow it as-is, or treat it as a hands-on way to learn and then start building your own creative automations – for tracking habits, adding notes, journal entries, or [doing something else](https://lunatask.app/api/overview) . Set up using our pre-made template[](https://lunatask.app/docs/features/integrations/shortcuts#set-up-using-our-pre-made-template "Direct link to Set up using our pre-made template") ---------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- We already created a shortcut template, so you don’t need to go through the tedious process of setting up the shortcut yourself. If you still want to create the shortcut manually, follow the tutorial in the next section. To get started with our shortcut template, [download the shortcut file by clicking here](https://lunatask.app/Add%20Task%20To%20%3CENTER%20AREA%20NAME%20HERE%3E.shortcut) on your iOS or macOS device and install the shortcut by opening the file. Once installed, we now have to modify the shortcut to enter a few things specific to your Lunatask account. ![](https://lunatask.app/assets/images/ios-shortcut-template-f2c45ab26835bb4d56dced4b9e1dff17.png) First, rename the shortcut and replace `` placeholder in the shortcut’s name with the name of the [area of life](https://lunatask.app/docs/how-to/structure-areas) where you want new tasks to be created. tip If you wish to add tasks to different areas at various times, you may also consider using an Inbox approach – create a separate “Inbox” area where incoming tasks would collect to be sorted later. You can name the shortcut however you want. The name is there for you to know what the shortcut does. You can remove the placeholder and name the shortcut just “Add Task” if you want. Now, replace `` placeholder with a real token as the second step. Create an access token _**Settings → Access tokens**_ in our desktop app, name it “Shortcuts”, and press “Copy to clipboard”. Then, paste the access token as the value for “Authorization” key. tip Thanks to Apple’s [Universal Clipboard](https://support.apple.com/en-us/HT209460) feature, you can paste what you copied into the clipboard on Mac on your iOS device. This might come handy here. Lastly, tell Shortcuts in which [area of life](https://lunatask.app/docs/how-to/structure-areas) the task should go in Lunatask. Find and copy Area ID in its settings, and replace `` placeholder with the ID. Note Using Area ID instead of area name may be inconvenient, but it's required because the names of your areas are end-to-end encrypted, and Lunatask servers don’t know them. Also, names can change over time. That’s it. Now, try running the shortcut. tip To make it available on Apple Watch, press the info icon in the bottom toolbar and enable “Show on Apple Watch”. Manually creating a shortcut[](https://lunatask.app/docs/features/integrations/shortcuts#manually-creating-a-shortcut "Direct link to Manually creating a shortcut") ---------------------------------------------------------------------------------------------------------------------------------------------------------------------- In this tutorial, we will manually create a shortcut from scratch on iOS or Mac to add new tasks to your lists. Get started by opening the Shortcuts app. Usually, the Shortcuts app is already preinstalled on your iOS or macOS device. If not, install it from the App Store. On main screen listing all available shortcuts, click the add icon in the header to create a new shortcut. Name your shortcut any way you like, and pick an icon for it. ![](https://lunatask.app/assets/images/ios-shortcut-1-152182699d6175bfe77a048d377db12f.png) Now, we configure actions. The first action taking place when running the shortcut will prompt you to enter the name of a newly created task. Press “Add Action”, select “Scripting” actions, and find “Ask for Input”. Once added, you can set the prompt (e.g. “Enter task name”). tip Instead of “Ask for input”, you can use “Dictate Text”, if you prefer. ![](https://lunatask.app/assets/images/ios-shortcut-2-47c92034f33036959203824cae9c18b2.png) Next, we configure another action to send this information into Lunatask. Slide up the list of available “Scripting” actions from the bottom of the screen and press the “X” icon to close “Scripting” section, returning you to the list of all available actions. Select “Web” actions and find “Get Contents of URL”. Now, we configure where the task should be sent – tell Shortcuts to call [Lunatask API](https://lunatask.app/api/tasks-api/create) . This is be somewhat technical, but following this tutorial exactly will get you there without too much effort. Fill in `https://api.lunatask.app/v1/tasks` so the action says “Get contents of `https://api.lunatask.app/v1/tasks`” instead of “Get contents of Provided Input”. Press the arrow icon to reveal more details – there, change the method from `GET` to `POST`. Open “Headers” section and press “Add new header”. Into the field for “Key”, type “Authorization”. Into the field named “Text”, paste an access token. Create an access token _**Settings → Access tokens**_ in our desktop app, name it “Shortcuts”, and press “Copy to clipboard”. tip Thanks to Apple’s [Universal Clipboard](https://support.apple.com/en-us/HT209460) , you can paste what you copied into the clipboard on Mac on your iOS device – this may come handy here. Now, paste the access token as the value for “Authorization” key. Next, tell Shortcuts in which [area of life](https://lunatask.app/docs/how-to/structure-areas) the task should go in Lunatask. Under “Request Body” section, press “Add new field” and select Text type. As “Key”, fill in “area\_id”, and as value, fill in Area ID of the area where the task should be created. tip If you don’t wish to hardcode a single area in the shortcut, you can add a prompt into your shortcut and select where the task should be created for each of your new tasks. Use _**Scripting → Choose from List**_ action for that. We won’t cover it here, but once you finish this tutorial, you should know enough about setting up shortcuts to be able to set this up. Next, add another field and name it “name”. Upon focusing into “Text” field, select “Provided Input” from the toolbar. The shortcut will now look like this: ![](https://lunatask.app/assets/images/ios-shortcut-3-25ebe96ee7baaed7227055aa2aa0d778.png) Now, press the play icon in the bottom toolbar to test your shortcut – a popup should appear, prompting you to enter the task name. Upon clicking “Done”, the task should be created in your chosen area in Lunatask. * [Set up using our pre-made template](https://lunatask.app/docs/features/integrations/shortcuts#set-up-using-our-pre-made-template) * [Manually creating a shortcut](https://lunatask.app/docs/features/integrations/shortcuts#manually-creating-a-shortcut) --- # Zapier integration | Lunatask [Skip to main content](https://lunatask.app/docs/features/integrations/zapier-integration#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 On this page [Zapier](https://zapier.com/apps/APP/integrations) lets you connect Lunatask to [5000+ other apps and web services](https://zapier.com/apps) . Automated connections called Zaps, set up in minutes with no coding, automate your day-to-day tasks and build workflows between apps that otherwise wouldn’t be possible. Each Zap has one app as the _Trigger_ where your information comes from and which causes one or more _Actions_ in other apps where your data gets sent automatically. Sign up for a free [Zapier](https://zapier.com/apps/lunatask/integrations) account – from there you can jump right in. caution Our Zapier integration is designed to bring tasks into Lunatask, but can’t sync them out to other apps. Since your data in Lunatask is encrypted, our servers can’t access it or share it with Zapier. This is a common limitation of end-to-end encrypted apps, where privacy comes at the cost of easy data sharing. info Zapier’s free plan is limited to 100 operations per month. More operations require upgrading your Zapier account. Pre-made templates[](https://lunatask.app/docs/features/integrations/zapier-integration#pre-made-templates "Direct link to Pre-made templates") ------------------------------------------------------------------------------------------------------------------------------------------------- We offer some pre-made templates for common integrations on [our Zapier page](https://zapier.com/apps/lunatask/integrations) . tip If you wish to add tasks to different areas at various times, you may also consider using an Inbox approach – create a separate “Inbox” area where incoming tasks would collect to be sorted later. Tutorial[](https://lunatask.app/docs/features/integrations/zapier-integration#tutorial "Direct link to Tutorial") ------------------------------------------------------------------------------------------------------------------- In this tutorial, we’ll show how to set up an integration between your Gmail account and Lunatask to push starred emails into Lunatask via Zapier from scratch (without using the premade template). You can use Zapier the same way to connect to any other [supported app](https://zapier.com/apps) . Start by creating a new Zap: ![]() Now, we have to set up the trigger – find and click on Gmail: ![](https://lunatask.app/assets/images/zapier-2-e6f6fdd05c3343793e20ad4a0809b99c.png) Next, configure the trigger. The event we’ll use here is “New Starred Email”. ![]() Now, you’ll be prompted to either pick an existing, already connected Gmail account or connect a new one. ![]() At this point, the trigger is configured. Next, we have to set up what action happens when an email is starred. Lookup Lunatask and select it: ![]() Select “Create Task” as the action and click “Continue”. ![]() Now, you will be prompted to connect your Lunatask account. Click “Sign in to Lunatask”. ![]() A new window will appear prompting you to enter your access token: ![]() Create a new access token in _**Settings → Access tokens**_ in our desktop app, named “Zapier”. Once created, click “Copy to Clipboard” and paste it into the prompt: ![](https://lunatask.app/assets/images/zapier-10-2b6dd71d1c48212cacdfe4f014f9d43c.png) Next, set up your action and what properties the task should have when created when an email is starred in Gmail. In this example, we’ll use the email’s subject as the task’s name. ![]() The second required field is Area ID – this sets into which [area of life](https://lunatask.app/docs/how-to/structure-areas) shall the task go. Choose an area, copy Area ID in its settings, and paste it into the prompt. tip If you wish to add tasks to different areas at various times, you may also consider using an Inbox approach – create a separate “Inbox” area where incoming tasks would collect to be sorted later. Optionally, you can set the task’s desired status, motivation, or priority. You can leave these empty for default values to be used. ![](https://lunatask.app/assets/images/zapier-14-92dac7bfadbfe38d0d5f5ff65d63f39c.png) You’re almost ready. Click “Test & Continue”, and a test task should appear in your list, confirming that everything is set up correctly. ![](https://lunatask.app/assets/images/zapier-15-393288565b3dbf02f814f66de8edf5cf.png) Lastly, turn on the Zap. Your Gmail integration is now set up. FAQ[](https://lunatask.app/docs/features/integrations/zapier-integration#faq "Direct link to FAQ") ---------------------------------------------------------------------------------------------------- ### Why do I need Area ID and can’t just pick area from a list?[](https://lunatask.app/docs/features/integrations/zapier-integration#why-do-i-need-area-id-and-cant-just-pick-area-from-a-list "Direct link to Why do I need Area ID and can’t just pick area from a list?") Your data in Lunatask is end-to-end encrypted. We can’t offer suggestions because neither us or Zapier know the names of your areas. ### What happens when I delete an area with configured Zaps?[](https://lunatask.app/docs/features/integrations/zapier-integration#what-happens-when-i-delete-an-area-with-configured-zaps "Direct link to What happens when I delete an area with configured Zaps?") Your Zaps will stop working at this point. Be sure to reconfigure your Zaps with new Area ID when you delete an area. ### How do I avoid creating duplicate tasks?[](https://lunatask.app/docs/features/integrations/zapier-integration#how-do-i-avoid-creating-duplicate-tasks "Direct link to How do I avoid creating duplicate tasks?") When creating a task, while there is already an existing not completed one in the same area with the same `source` and `source_id` pair, the Zap will succeed without creating a duplicate. You can think of `source` and `source_id` attributes as identification of the record in the external system. For example, `source` could be “gmail”, and `source_id` could be the email’s ID in Gmail. * [Pre-made templates](https://lunatask.app/docs/features/integrations/zapier-integration#pre-made-templates) * [Tutorial](https://lunatask.app/docs/features/integrations/zapier-integration#tutorial) * [FAQ](https://lunatask.app/docs/features/integrations/zapier-integration#faq) * [Why do I need Area ID and can’t just pick area from a list?](https://lunatask.app/docs/features/integrations/zapier-integration#why-do-i-need-area-id-and-cant-just-pick-area-from-a-list) * [What happens when I delete an area with configured Zaps?](https://lunatask.app/docs/features/integrations/zapier-integration#what-happens-when-i-delete-an-area-with-configured-zaps) * [How do I avoid creating duplicate tasks?](https://lunatask.app/docs/features/integrations/zapier-integration#how-do-i-avoid-creating-duplicate-tasks) --- # Widget on iOS and Android | Lunatask [Skip to main content](https://lunatask.app/docs/features/integrations/widget#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 On this page Start here Since our calendar serves mainly as an interface for [Time Blocking](https://lunatask.app/docs/features/tasks/scheduling/time-blocking) , be sure to first learn and understand that feature in its [dedicated article](https://lunatask.app/docs/features/tasks/scheduling/time-blocking) 👈 You can use our built-in Today Calendar to time-block and schedule your tasks and habits, and plan them into your day between meetings, appointments, and other events. tip Connect your Google, Outlook, Proton, or any other calendar to see it in Lunatask – you can even connect Facebook to see your Facebook events there as well 🌟 To open the calendar in Lunatask, press the calendar icon in the main menu at the top. Alternatively, you can toggle whether the calendar is open by pressing `CMD+S` (on Mac) or `Ctrl+S` (on other platforms). ![Calendar](https://lunatask.app/assets/images/screenshot-4-f327f97986878b2d85fbf1c2dd6d6901.png) Tomorrow calendar When the sidebar is resized wide enough, tomorrow appears – allowing you to plan your next day hour by hour (available on desktop). caution Our Today Calendar isn’t intended to replace full-featured apps like Apple or Google Calendar. Calendar integrations[](https://lunatask.app/docs/features/calendar#calendar-integrations "Direct link to Calendar integrations") ----------------------------------------------------------------------------------------------------------------------------------- **⚡️ This feature is available on Premium plan** To see your calendar meetings and events right next to your tasks inside our desktop app, connect and authorize the integration in _**Settings → Connected apps**_. Two-way sync Our calendar integrations are currently one-way only, with data flowing from external calendars into Lunatask. For more details and our plans around two-way sync, be sure to check and watch for updates on our [Idea Portal](https://ideas.lunatask.app/c/51-two-way-sync-to-calendar) . Calendars on mobile While our desktop app connects directly to external calendar services through native custom-built integrations supporting all providers and protocols, the integration works differently on mobile. On mobile, our app asks for permission and reads your calendars and events using a native Calendar SDK on iOS or Android instead. Lunatask mirrors what you see in your system’s calendar app on mobile, or what a third-party calendar app you may be using shares with the system's Calendar SDK – the integration is handled at the system level (or elsewhere), not in our app itself. Note for Android users using Proton Calendar Since the integration with Proton Calendar (or any other calendar service) is handled outside our app – and as we use iOS ourselves – our knowledge of how to connect or subscribe to Proton Calendar on various Android devices is somewhat limited. That said, based on past conversations with some of you, we understand there may be some privacy concerns. We don’t fully know the nature of those concerns – or whether it’s just one or there could be many, depending on your specific device or setup – but we can share a solution that one of you shared with us: From how we understood the message – although we haven’t yet been able to try and verify it ourselves – using [Fossify Calendar](https://play.google.com/store/apps/details?id=org.fossify.calendar) (an open-source/FOSS app) and connecting a Proton calendar in it, Android’s Calendar SDK can then read events from Fossify Calendar and, as a consequence, they show up in our mobile app too. #### Supported providers[](https://lunatask.app/docs/features/calendar#supported-providers "Direct link to Supported providers") All calendar providers and protocols are supported in our desktop app: * Google * Outlook * iCloud * Proton * FastMail * Hey * Facebook Events * Any other using an iCal/ics feed * Any other using CalDAV protocol tip On desktop, updates from external calendars sync to Lunatask in real time for Google and Outlook, and every 5 minutes for other calendar integrations. On mobile, updates are synced every two minutes, or you can sync them manually using pull-to-refresh available across the app. Alternatively, you can sync manually using `CMD+R` (on Mac) and `Ctrl+R` (on Windows and Linux), “Sync with cloud” menu item (on Mac), or a button in _**Settings → Diagnostics**_ (on all platforms). Get help Having trouble setting up the integration? Feel free to [reach out](https://lunatask.app/contact) – we’re here to help. When everything lives under one roof, we can seamlessly connect things easily – like calendar events with notes. Hover over any meeting or event to reveal the option to create a connected note – this is great and not just for meeting notes. Clicking the button opens a popup where you’ll be prompted to enter or select: * Note’s name – by default, it’ll be prefilled with _“Note for \[event-name\] from \[current-date\]”_ * A specific notebook where to place the note (optional) * Any note template you would like to use (optional, e.g. “Team Retrospective”) ![Create notes for calendar events](https://lunatask.app/assets/images/create-notes-for-events-1-39359adffe1975e97511e210590778db.png) caution The screenshot comes from an earlier version of Lunatask – while the design has changed, the functionality remains the same. After clicking “Create note”, you’ll be taken to the newly created note, prefilled from the selected template (or left empty). ![Create notes for calendar events](https://lunatask.app/assets/images/create-notes-for-events-2-6eb77c0a029690a03f5e526fb3362b79.png) All that’s left now is to share the note with your teammates 🌟 tip Since the note is now linked to the event, clicking the button again will take you directly back to it. While continuously building, improving, and caring for what is essentially 6-7 apps in one, we’re still a small team of two – so we currently don’t have the capacity to take on the “calendar” use case just yet. tip That said, you can still vote for this feature, share your ideas, use cases, and watch for updates on our [Idea Portal](https://ideas.lunatask.app/c/44) 👈 ### How can I change colors of individual calendars?[](https://lunatask.app/docs/features/calendar#how-can-i-change-colors-of-individual-calendars "Direct link to How can I change colors of individual calendars?") Colors are pulled from your provider, such as Google Calendar. If you change the color there, it will update in Lunatask too – although we apply some processing, so it may not be an exact match. info Proton and iCal feeds don’t provide color, so their events appear in our default blue. We plan to add an option to manually pick a color for these – keep an eye on the current status of this feature on our [Idea Portal](https://ideas.lunatask.app/c/172-pick-color-for-proton-ical-calendars) 👈 #### Can I see different calendars in different lists? I don’t want to see my work calendar when looking at my personal tasks[](https://lunatask.app/docs/features/calendar#can-i-see-different-calendars-in-different-lists-i-dont-want-to-see-my-work-calendar-when-looking-at-my-personal-tasks "Direct link to Can I see different calendars in different lists? I don’t want to see my work calendar when looking at my personal tasks") This would bring more problems than it would solve, unfortunately. Your daily schedule is your daily schedule – regardless of what list you’re looking at right now. Such a feature could easily lead to situations where you miss a work meeting because you don’t see it, or time-block a personal task for the same time you already time-blocked a work task without realizing it. * [Calendar integrations](https://lunatask.app/docs/features/calendar#calendar-integrations) * [Joining video conference calls](https://lunatask.app/docs/features/calendar#joining-video-conference-calls) * [Supported video conferencing apps](https://lunatask.app/docs/features/calendar#supported-video-conferencing-apps) * [Creating notes for calendar events](https://lunatask.app/docs/features/calendar#creating-notes-for-calendar-events) * [FAQ](https://lunatask.app/docs/features/calendar#faq) * [Is weekly/monthly calendar coming?](https://lunatask.app/docs/features/calendar#is-weeklymonthly-calendar-coming) * [How can I change colors of individual calendars?](https://lunatask.app/docs/features/calendar#how-can-i-change-colors-of-individual-calendars) --- # Journal | Lunatask [Skip to main content](https://lunatask.app/docs/features/journal#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 On this page Lunatask is also a powerful journaling app – journaling is the practice of keeping a diary or journal which explores the thoughts and emotions you experience in your life. Keeping a journal is a way to express yourself without judgment or rules. Journaling has many benefits on the journey toward your goals. It helps process emotions in a positive way and can improve awareness of anxiety and depression by clearing your mental clutter, focusing your mind, and building awareness of your thoughts and feelings. It also reduces intrusion and avoidance symptoms post-trauma. ![Journal](https://lunatask.app/assets/images/screenshot-5-9dbf7835ef6e78d990a18293dd1c7560.png) tip Lunatask automatically creates a new journal entry for you each day, which is accessible from anywhere within the app. To open it, click the smiley icon in the top menu. Alternatively, press `M` on your keyboard to open the journaling dialog and start typing immediately. Mood tracking[](https://lunatask.app/docs/features/journal#mood-tracking "Direct link to Mood tracking") ---------------------------------------------------------------------------------------------------------- Your journal integrates with our [mood tracker](https://lunatask.app/docs/features/mood-tracker) . Currently, there can be only a single value for mood, energy, and stress level each day. Journal entries share these values with the day they’re set to. Therefore, if you have multiple journal entries for a particular day, all of them will share the same mood tracker values. Template customization[](https://lunatask.app/docs/features/journal#template-customization "Direct link to Template customization") ------------------------------------------------------------------------------------------------------------------------------------- The template new journal entries are initialized with can be customized. In the template, you can ask yourself questions you’d like to answer in each entry or remind yourself of things not to forget to enter into your journal each day. Here are a few suggestions for inspiration: * What did you do today? * What’s the best thing that happened today? * What are you grateful for today? * If there’s one thing you want to remember from this day, what is it? * What was the hardest part of your day? How did you deal with it? * What is the happy memory from today you would like to keep? * What made you smile today? * What is your current bottleneck, and how can you fix it? * What challenges are you facing? * What would you change if you had a chance? * What has kept you down today? * What did you learn? * Did you make time for self-care today? If so, what did you do and how did you feel after this self-care activity? Using the template is completely optional, of course. Many might prefer having a blank canvas to write about what happened each day, how they felt, or anything else relevant to that day. Privacy[](https://lunatask.app/docs/features/journal#privacy "Direct link to Privacy") ---------------------------------------------------------------------------------------- Your journal enjoys the same [security and privacy](https://lunatask.app/docs/getting-started/privacy) benefits as our other features and your journal entries are end-to-end encrypted. tip Furthermore, a four-digit PIN can be set up in the settings to add an extra layer of protection for your sensitive thought if someone else has access to your devices. * [Mood tracking](https://lunatask.app/docs/features/journal#mood-tracking) * [Template customization](https://lunatask.app/docs/features/journal#template-customization) * [Privacy](https://lunatask.app/docs/features/journal#privacy) --- # Linking | Lunatask [Skip to main content](https://lunatask.app/docs/features/linking#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 On this page Linking is the ability to create clickable links between entities in Lunatask. It allows linking or referencing notes in other notes, tasks in other tasks’ descriptions, people in your journal entries, and so on – you can link anything, in any Markdown document inside our apps. To insert a link, open linking dialog in our formatting toolbar. Instead of typing or pasting a URL (like in cases when linking to an external website), search for any item in your Lunatask account. ![Entity Linking](https://lunatask.app/assets/images/linking-1-2e9401421cd838b7a2357e4cebcbe404.png) Upon finding and selecting the right item you’re looking for, a link to it will be inserted into the content of your Markdown document at current cursor position. info When no existing text is selected and highlighted when opening the linking dialog, the item’s name will be inserted as the link’s text or title. However, you can also select any part of your text and make it a link to some specific entity, of course. Linkable entities include all items that can be found using our search, such as: * Tasks, areas, and goals * Notes and notebooks * Journal entries and happy memories * Relationships/people tip You can also link to specific parts of the app like our [habit tracker](https://lunatask.app/docs/features/habits) , [relationship tracker](https://lunatask.app/docs/features/relationships) , or [journal](https://lunatask.app/docs/features/journal) – not just to individual entities or items tracked in them. See our next section on deep linking below for more detail and use cases. Deep Linking[](https://lunatask.app/docs/features/linking#deep-linking "Direct link to Deep Linking") ------------------------------------------------------------------------------------------------------- Our linking isn’t limited to work only within Lunatask itself – you can use our links to reference and link to specific tasks, notes, people, journal entries, and other items in your Lunatask account from any other app too. info This is called deep linking – deep links are links that not only open an app, but also take you to a specific location “deep” inside the app, hence the name 💡 If you wish to link a specific item in Lunatask from outside, find the option labeled “Copy link” – usually, you will find it in the right-click context menu on tasks, notes, areas, people, or in notebook or area settings, for example. ### Deep linking to entities in Lunatask[](https://lunatask.app/docs/features/linking#deep-linking-to-entities-in-lunatask "Direct link to Deep linking to entities in Lunatask") Our deep links use a custom `lunatask://` protocol, telling your system that our app should handle the link when clicked on. They look like these examples: * `lunatask://tasks/3ceabcc3-b2e2-4874-9b04-2b64ee35f699` * `lunatask://notes/0772b235-94e9-4d18-a11b-739c28bff372` * `lunatask://areas/885ce73f-14ea-4bba-aad8-e794ff6bf615` * `lunatask://people/a4e6a61b-1b69-4fca-bf95-31b96ec59beb` You can use these links anywhere – in any other app, in your browser, inside Shortcuts on Mac and iOS, or elsewhere. ### Deep linking to specific parts of Lunatask[](https://lunatask.app/docs/features/linking#deep-linking-to-specific-parts-of-lunatask "Direct link to Deep linking to specific parts of Lunatask") Additionally, we provide deep links to each specific part or section of our app: * `lunatask://tasks` * `lunatask://notes` * `lunatask://habits` * `lunatask://journal` * `lunatask://people` – alternatively, `lunatask://relationships` works as well Opening such a link will open Lunatask in the corresponding location (for example, the habit tracker). tip With these section-specific deep links, you can also create aliases, shortcuts, or home-screen icons that jump directly to any part of the app. So, instead of one general “Lunatask” app icon on your desktop or mobile home screen, you can have five – almost like you would have five separate apps installed, if that’s what you wish. On iOS, you can achieve this using Apple’s Shortcuts app, for example. ### Additional helper features[](https://lunatask.app/docs/features/linking#additional-helper-features "Direct link to Additional helper features") In some situations, you might already have a deep link copied to your clipboard. Pasting it into our linking dialog will recognize it as a Lunatask deep link and look up the entity: ![Entity Linking](https://lunatask.app/assets/images/linking-2-8aafb32928ab1362e178dedece8ca87a.png) Our global search can also look up the entity when provided with its deep link: ![Entity Linking](https://lunatask.app/assets/images/linking-3-d22bad24b9b7a5cd11b9990407d71160.png) Note on bi-directional linking Our linking is currently one-directional. One-directional linking means you can create links to other entities in Lunatask, but you won’t see which entities link back to the one you’re viewing. Bi-directional linking may come to Lunatask in the future, though it’s not among our top priorities at the moment. Is bi-directional linking important for you? Add your vote for the feature on our [Idea Portal](https://ideas.lunatask.app/c/176) 🙏 * [Deep Linking](https://lunatask.app/docs/features/linking#deep-linking) * [Deep linking to entities in Lunatask](https://lunatask.app/docs/features/linking#deep-linking-to-entities-in-lunatask) * [Deep linking to specific parts of Lunatask](https://lunatask.app/docs/features/linking#deep-linking-to-specific-parts-of-lunatask) * [Additional helper features](https://lunatask.app/docs/features/linking#additional-helper-features) --- # Notifications | Lunatask [Skip to main content](https://lunatask.app/docs/features/notifications#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 On this page Lunatask has two ways to notify you of time-sensitive events happening in the app – these are notifications and badges. Apple Watch support To receive notifications on your Apple Watch, enable notifications for Lunatask app in the Watch app. Supported desktop notifications[](https://lunatask.app/docs/features/notifications#supported-desktop-notifications "Direct link to Supported desktop notifications") ---------------------------------------------------------------------------------------------------------------------------------------------------------------------- | Desktop platforms | Supported? | Enabled by default? | | --- | --- | --- | | [Scheduled (time-blocked) tasks](https://lunatask.app/docs/features/tasks/scheduling/time-blocking) | ✅ | ✅ | | [Scheduled habits](https://lunatask.app/docs/features/habits#scheduling) | ✅ | ✅ | | [Calendar meetings and events](https://lunatask.app/docs/features/calendar) | ✅ | ❌ | | [Birthday and anniversaries](https://lunatask.app/docs/features/relationships#birthdays) | ✅ | ✅ | | [Task timer finishes](https://lunatask.app/docs/features/tasks/timers) | ✅ | ✅ | Notifications are disabled by default for events coming from [external calendars](https://lunatask.app/docs/features/calendar#calendar-integrations) , as most people likely already receive them from their full-featured calendar app like Apple Calendar. caution On Mac, be sure to allow notifications in _**System Preferences → Notifications → Lunatask**_. On Linux, notifications are supported in any desktop environment that follows Desktop Notifications Specification. info Note that notifications are shown only when Lunatask desktop app is running. This usually isn’t a problem on Mac or Windows where Lunatask minimizes into system tray on close, but it’s worth noting if you’re on Linux. Supported mobile notifications[](https://lunatask.app/docs/features/notifications#supported-mobile-notifications "Direct link to Supported mobile notifications") ------------------------------------------------------------------------------------------------------------------------------------------------------------------- | Mobile platforms | Supported? | Enabled by default? | | --- | --- | --- | | [Scheduled (time-blocked) tasks](https://lunatask.app/docs/features/tasks/scheduling/time-blocking) | ✅ | ❌ | | [Scheduled habits](https://lunatask.app/docs/features/habits#scheduling) | ✅ | ❌ | | [Calendar meetings and events](https://lunatask.app/docs/features/calendar) | ❌ | | | [Birthday and anniversaries](https://lunatask.app/docs/features/relationships#birthdays) | Coming soon | | | [Task timer finishes](https://lunatask.app/docs/features/tasks/timers) | Coming soon | | caution Notifications aren’t enabled by default in our mobile app – visit _**Settings → Notifications**_ to enable them. Note for users on alternative Android distributions Push notifications are delivered via FCM and therefore require Google Play Services enabled. Note on data encryption Lunatask is a multi-platform, multi-device application that users usually run on several devices. Our mobile notifications therefore must be triggered and sent by our servers (so-called push notifications) to be reliable. Imagine the following example: It’s 10:45 AM, and you drag a task onto the calendar in our desktop app for 11 AM. In 15 minutes, you expect to receive a notification on all your devices, desktop and mobile. Meanwhile, your mobile device is placed on your table, screen off. As a result, the mobile app won’t have the opportunity to sync the latest changes and trigger the notification locally. However, Lunatask servers only know that something is placed on your Lunatask calendar – they don’t know what, as that data is [end-to-end encrypted](https://lunatask.app/docs/getting-started/privacy) . For this reason, our mobile notifications currently won’t show task or habit names. The notification you receive on your lock screen at 11 AM will read _“A task on your calendar starts now. Press to see the task!”_ or _“It’s 11 AM and time for your habits!”_ in case of habits. We’re currently looking into more useful notifications that will show all needed information and also provide action buttons to, for example, mark a habit as complete directly from the notification itself, while still keeping reliability and end-to-end encryption at the same time. Badges[](https://lunatask.app/docs/features/notifications#badges "Direct link to Badges") ------------------------------------------------------------------------------------------- Badges are shown on individual [areas of life](https://lunatask.app/docs/how-to/structure-areas) and also our [habit tracker](https://lunatask.app/docs/features/habits) in the main menu, as well as on the app icon in Dock (on Mac), on your home screen (on iOS and Android), and in system tray (on Windows). A [running timer](https://lunatask.app/docs/features/tasks/timers) will also show a purple badge on the area where the task belongs. Area badges can be configured per-area in area settings. There are a few setting options available: | Setting | Meaning | | --- | --- | | `None` | Never show badge on the area in the list | | `All just came up` | Shows the number of tasks that have just come up after being deferred to a future date, or all your today or past tasks in [Plan Your Days](https://lunatask.app/docs/features/tasks/workflows#plan-your-days)
workflow (default) | | `All highest priority` | Shows the number of tasks in the area with the highest priority assigned, excluding those deferred or scheduled to future dates | | `All current` | Shows the number of current tasks in the area – your current focus (i.e. usually those which aren’t marked as `Later`) | | `All tasks` | Shows the number of all pending tasks in the area | The badge on the habit tracker menu item shows the number of remaining incomplete habits for today and can also be disabled in the settings. The sum of all individual numbers on each item will show on the app icon in Dock or system tray. ![App icon badge](https://lunatask.app/assets/images/app-icon-badge-162b236bb5022838fabac335abbcf056.png) info On Mac, if you see badges on areas in the menu but not on the app icon, be sure to allow notifications in _**System Preferences → Notifications → Lunatask**_. * [Supported desktop notifications](https://lunatask.app/docs/features/notifications#supported-desktop-notifications) * [Supported mobile notifications](https://lunatask.app/docs/features/notifications#supported-mobile-notifications) * [Badges](https://lunatask.app/docs/features/notifications#badges) --- # Quick note | Lunatask [Skip to main content](https://lunatask.app/docs/features/quick-note#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 On this page Lunatask isn’t just a great [task management](https://lunatask.app/docs/features/tasks/overview) tool or [habit tracker](https://lunatask.app/docs/features/habits) . Relationship tracking is our take on a Personal CRM to help you stay in touch and build closer everlasting relationships with the people you care about the most. It’s never too late to start strengthening your connections and relationships. ![Relationship tracking](https://lunatask.app/assets/images/rt-2af2cddbb206ba9536b25b0a5c56ee62.png) Why did we build this?[](https://lunatask.app/docs/features/relationships#why-did-we-build-this "Direct link to Why did we build this?") ------------------------------------------------------------------------------------------------------------------------------------------ Despite everything and everyone being connected all the time through social networks and the internet, studies show we’re becoming less socially connected over time. We replaced a few deep relationships and a sense of community and membership with many shallow and often distant connections. In a world with so much fighting for our attention, people naturally have less time and focus on being good friends to their friends and strengthening their relationships. And it’s not just you. Given the many options now on what to do with their time, people around you probably also have less time to work on their relationship with you. Some call this a loneliness epidemic. The World Health Organization (WHO) has even declared loneliness to be a pressing global health threat, as loneliness and isolation represent profound threats to our health and well-being. This might be an even bigger issue for people with ADHD because of their object permanence deficits and things being “out of sight, out of mind”. Unfortunately for those with ADHD, it often means unintentionally neglecting our cherished connections. ![Opportunities to connect](https://lunatask.app/assets/images/connect-opportunities-e364a54340bb84dc556788d23d2fb1ac.png) Even if you don’t suffer from these and don’t feel lonely, on the contrary maybe, having a place to keep all the information about your network and relationships is a great feature you don’t find in similar apps. Organization based on relationships strength[](https://lunatask.app/docs/features/relationships#organization-based-on-relationships-strength "Direct link to Organization based on relationships strength") ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- When designing Lunatask’s relationship tracker, we wanted to create a single visualization of your network and connections where you could see everything happening around you and where everyone you know is placed based on your relationship with them – we call this a relationship hierarchy. ### Relationship hierarchy[](https://lunatask.app/docs/features/relationships#relationship-hierarchy "Direct link to Relationship hierarchy") In the relationship hierarchy, people are visualized based on the closeness or strength of your relationship. Glancing at the hierarchy, you can easily see where everyone is and which relationships you want to improve. Lunatask allows you to categorize everyone into one of seven categories or groups: * **Family** – Connected one way or the other for the rest of your lives * **Extended family** – For those with large families, a single category may not be enough. Family by blood or bond, just a little further out. * **Intimate friends** – An intimate friend is someone you feel at ease with and can share almost everything that happens in your life without thinking twice * **Close friends** – A close friend is someone you want to hang out with and make an effort for this to happen * **Casual friends** – Casual friends you see from time to time. They might also come and go. This is usually the largest group of people for most and also the one where there are usually most opportunities for strengthening those relationships. * **Acquaintances** – Unless the person acknowledges you as a friend and you spend time together outside of the function or event that brought you together, you’re an acquaintance * **Business Contacts** – A place to track your work contacts or colleagues you wouldn’t categorize elsewhere, if you wish to have them in Lunatask * **Almost strangers** – A known face you might have talked to once or twice tip Individual sections of the hierarchy can be collapsed simply by clicking their name. In the filtering and display options, you can also hide family or business contacts completely so only your “friend-like” contacts are displayed. ### Pick relationships to work on[](https://lunatask.app/docs/features/relationships#pick-relationships-to-work-on "Direct link to Pick relationships to work on") For each relationship in the hierarchy, you can mark whether you’re happy with the relationship as is or whether it’s a relationship you want to work on and improve. Those marked to improve will show an arrow pointing up in the hierarchy, so just glancing at the hierarchy, you immediately see those relationships. tip If you have a free evening and are in the mood to catch up with someone, look at your relationship hierarchy, pick a relationship marked for improvement by looking for those with arrows, and send them a message or call them. They will surely be happy to hear from you! Reconnect reminders[](https://lunatask.app/docs/features/relationships#reconnect "Direct link to Reconnect reminders") ------------------------------------------------------------------------------------------------------------------------ Struggle staying in touch? Still seeing each other only once a year, even though you’d love to be closer and connect more often, but it just doesn’t seem to happen naturally? Set up a reconnect reminder! Lunatask automatically keeps track and makes sure you connect with people at set intervals based on reconnect rules you set up for each person – it’ll let you know when to meet or get in touch with the person, friend, or family member again. tip What “reconnect” means is individual to each user and person – it doesn’t necessarily mean seeing each other in person. To set up and manage this reconnect, open the person profile in relationship tracking. There, you find four fields: * **I want to reconnect** – This is your reconnect rule like _every month_, _every two weeks_, or _every week on Friday_ * **We last connected** – For Lunatask to calculate the next reconnect, it needs to know when was the last time you connected * **Due to reconnect** – The next reconnect date automatically calculated by Lunatask * **Agreed to reconnect** – When you agree on a date to meet, you can enter it into this field here (optional). Lunatask will now calculate the next reconnect date from this date. The _Agreed to reconnect_ field is useful, so the red badge telling you that you’re due to reconnect with this person goes away while you wait for the meeting to take place once the arrangement has been made. How you want to treat the next reconnect date is up to you. You can treat it as the last date to reconnect on and reconnect ideally before this date (e.g. reconnect _at least_ every three months). Or you can treat it as a reminder, don’t worry about future reconnect dates, and only reach out to people after their reconnect date comes. If you want to use the second option, you can hide future reconnects in the display options. tip To quickly set the last reconnect date to today, press `R` on your keyboard while looking at the person detail. Fully customizable fields[](https://lunatask.app/docs/features/relationships#custom-fields "Direct link to Fully customizable fields") ---------------------------------------------------------------------------------------------------------------------------------------- On the level of each person or relationship, you can track any useful information you don’t have space for in your memory. Those can be anniversaries, names of spouses and children, things to discuss next time you see each other, or possible activities to do together. ### Available field types[](https://lunatask.app/docs/features/relationships#available-field-types "Direct link to Available field types") The options are endless, and everyone will want to track different things. For this reason, there are no pre-defined fields when you start using our relationship tracking. It’s up to you to create fields that are relevant for you. Currently, there are eight data types to choose from, and you can create as many fields as you like for each type: * **Email** – An email address, clicking which opens your default email client with a new email addressed to that person * **Phone number** – A phone number, clicking which offers options to either call the person or open WhatsApp chat * **Link** – Any link, clicking which will open it in your default browser * **Social Profile URL** – A special kind of link, for example, linking their Facebook, Twitter, or LinkedIn profiles. This is a unique field type, a link with additional functionality. For instance, in the future, having a Facebook profile linked this way will allow Lunatask to automatically fetch the person’s avatar from Facebook and use it throughout Lunatask. * **Date** – Any date, a one-time event. Lunatask also automatically calculates a relative distance to this date (e.g. _5 months ago_ or _in 8 days_). * **Anniversary** – A date that repeats annually. Lunatask also automatically calculates how much time is left until the next anniversary. * **Birthday** – A special kind of anniversary where Lunatask also automatically calculates the person’s age. * **Text / Note (Markdown-enabled)** – Any text or note for whatever custom information you want to track. Most of your custom fields will probably be of this time. In this field, you can add formatting you’re used to in regular notes or task descriptions, including lists, checklists, etc (via Markdown syntax). The name of each field you create can be customized, and you can name your fields however you like. Birthdays[](https://lunatask.app/docs/features/relationships#birthdays "Direct link to Birthdays") ---------------------------------------------------------------------------------------------------- Lunatask keeps track of birthdays for you. You can even configure how many days ahead they should show up – pretty neat, right? You will no longer miss anyone’s birthday. ![Birthday tracking](https://lunatask.app/assets/images/rt-birthday-997dcd24674ff6557a9168b323deb132.png) Happy memories timeline[](https://lunatask.app/docs/features/relationships#happy-memories-timeline "Direct link to Happy memories timeline") ---------------------------------------------------------------------------------------------------------------------------------------------- Happy memories are a way of integrating relationship tracking with [journaling](https://lunatask.app/docs/features/journal) in Lunatask. In a person’s profile, you find a timeline of happy memories you share with this person – those can be trips or concerts you went on together, vacations, adventures or experiences you shared, or any other memories related to that person. When you open your [journal](https://lunatask.app/docs/features/journal) , you will also see these happy memories there among your regular journal entries. tip Human memory is highly selective, and we sometimes tend to put too much emphasis on negative experiences, how lonely we feel, and how we might be missing something when we see what others do all the time on Instagram. There’s a positive psychological effect in having a timeline of happy memories and experiences we can look at anytime. For example, look at your happy memories timeline at the end of the year and see all the great things, experiences, reconnects, and more you’ve done throughout the year. Even if you’re not very social otherwise, there will still be plenty of memories to cherish 🌟 Per-person notes[](https://lunatask.app/docs/features/relationships#person-notes "Direct link to Per-person notes") --------------------------------------------------------------------------------------------------------------------- You can also add notes to the memories timeline in the detail of a person. After having a call with them, track what you talked about on that day by adding a note to the person’s memory timeline. Unlike happy memories, these notes won’t show up in your journal in Lunatask. tip You can use Markdown to add formatting in per-person notes. Privacy[](https://lunatask.app/docs/features/relationships#privacy "Direct link to Privacy") ---------------------------------------------------------------------------------------------- Relationship tracking enjoys the same [security and privacy](https://lunatask.app/docs/getting-started/privacy) benefits as our other features. People’s, values in custom fields, and all your notes and happy memories are end-to-end encrypted – even we don’t have access to them. Additional protection Furthermore, a four-digit PIN can be set up in the settings to add an extra layer of protection if someone else has access to your devices. * [Why did we build this?](https://lunatask.app/docs/features/relationships#why-did-we-build-this) * [Organization based on relationships strength](https://lunatask.app/docs/features/relationships#organization-based-on-relationships-strength) * [Relationship hierarchy](https://lunatask.app/docs/features/relationships#relationship-hierarchy) * [Pick relationships to work on](https://lunatask.app/docs/features/relationships#pick-relationships-to-work-on) * [Reconnect reminders](https://lunatask.app/docs/features/relationships#reconnect) * [Fully customizable fields](https://lunatask.app/docs/features/relationships#custom-fields) * [Available field types](https://lunatask.app/docs/features/relationships#available-field-types) * [Birthdays](https://lunatask.app/docs/features/relationships#birthdays) * [Happy memories timeline](https://lunatask.app/docs/features/relationships#happy-memories-timeline) * [Per-person notes](https://lunatask.app/docs/features/relationships#person-notes) * [Privacy](https://lunatask.app/docs/features/relationships#privacy) --- # Bulk edit | Lunatask [Skip to main content](https://lunatask.app/docs/features/tasks/bulk-edit#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 Lunatask allows updating properties of tasks in bulk – you can, for example, select any number of tasks and update the status for all of them at once to move them out of the backlog. Select multiple tasks in the list to perform bulk actions on and right-click. When selecting an action in the right-click context menu, this action will be performed on all tasks in the selection. To add another task to the current selection, instead of simply clicking on the task, hold `CMD` (on Mac) or `Ctrl` (on other platforms) while clicking. To select a range, select the first task, then while holding `Shift`, click the last task – all tasks in between those two tasks will also be added to the selection. To select all tasks in the list, press `CMD+A` (on Mac) or `Ctrl+A` (on other platforms). Some keyboard shortcuts also work on multiple selections – for example, `Backspace` to delete all selected tasks, `Shift+Arrow Right` and `Shift+Arrow Left` to move the tasks between sections, or `Shift+Arrow Up` and `Shift+Arrow Down` to increase/decrease their priority. info Bulk edit is currently available only in our desktop app. --- # Estimation | Lunatask [Skip to main content](https://lunatask.app/docs/features/tasks/estimation#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 On this page Lunatask allows you to set the remaining time needed to complete each task (sometimes called an estimate). This is useful when you’re overwhelmed by the number of tasks in your list. Estimate the remaining time needed to complete each task to see how much actual work is on your shoulders — it might be less than you think. tip Some of the estimate options in the picker are highlighted in red. This indicates that the task might be too big, which isn’t necessarily a problem in itself. It’s just a small visual nudge to make you think in case the task might be better broken into multiple smaller tasks or converted into a goal. info The ability to set arbitrary estimate is coming to our desktop app in the future (our mobile app already has this feature) 🤞 ### Estimate summaries[](https://lunatask.app/docs/features/tasks/estimation#estimate-summaries "Direct link to Estimate summaries") To see the sum of estimates for all the tasks in a particular section (like your planned tasks), hover over the section name and total time will show: ![The sum of estimates](https://lunatask.app/assets/images/estimation-cadd40fc42b364412f70b5ebec651df8.png) ### Effect on time blocking[](https://lunatask.app/docs/features/tasks/estimation#effect-on-time-blocking "Direct link to Effect on time blocking") Estimates also affect how long the task appears when dragged onto the calendar using [time blocking](https://lunatask.app/docs/features/tasks/scheduling/time-blocking) , as time blocking takes existing time blocks into account. Imagine a task with an estimate of two hours where you already previously created a time-block with the length of 1 hour and 15 minutes. Dragging the task onto the calendar again for a later time will create a second time block with the length of the remaining time, i.e. 45 minutes. When no estimate is set, the default time-block length is 1 hour. tip Default time block length can be changed in the settings. * [Estimate summaries](https://lunatask.app/docs/features/tasks/estimation#estimate-summaries) * [Effect on time blocking](https://lunatask.app/docs/features/tasks/estimation#effect-on-time-blocking) --- # Link extraction | Lunatask [Skip to main content](https://lunatask.app/docs/features/tasks/link-extraction#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 Our apps automatically extract the first link found in task descriptions and provide a convenient button in your task list to open it instantly in your browser. tip This comes in handy, for instance, when creating reading lists using [browser extensions](https://lunatask.app/docs/features/integrations/browser-extension) . ![Link extraction](https://lunatask.app/assets/images/link-extraction-6a5cc4ec57ab3d19f5e47d7826d4ea83.png) tip If you find this feature distracting, you can disable it in the settings. Note Originally, this feature was created for developers, so they could link a JIRA ticket or Trello card and access it easily. Reading lists work the same way in principle. Given these use cases, this feature handles only one link. It was intended for cases where a task’s description is just the link itself and the actual task details live elsewhere – on the linked site, whether it’s a JIRA ticket or something else. So if you have a shopping list in one task with many Amazon items, this isn’t the scenario the feature was designed for, and it won’t work well for that case. --- # Future tasks and scheduling | Lunatask [Skip to main content](https://lunatask.app/docs/features/tasks/scheduling/date-based-scheduling#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 On this page We offers date-based scheduling in two ways, depending on a [workflow](https://lunatask.app/docs/features/tasks/workflows) chosen for each [area of life](https://lunatask.app/docs/how-to/structure-areas) : * In Kanban-like workflows (our recommended approach) – such as [Now/Later](https://lunatask.app/docs/features/tasks/workflows#now-later) , [Kanban](https://lunatask.app/docs/features/tasks/workflows#kanban) , [Must/Should/Want](https://lunatask.app/docs/features/tasks/workflows#must-should-want) , and others – it’s used **for future tasks as future reminders** * In our date-based workflow ([Plan Your Days](https://lunatask.app/docs/features/tasks/workflows#plan-your-days) ), it naturally follows a more traditional planning approach (e.g. _“I will do this today, and that tomorrow“_) In contrast to other apps that are designed around dates and planning, or act more like databases – you assign properties to tasks and are left alone to manage them – this distinction is important to understand in learning how to use dates in Lunatask correctly. Different mental model Most apps teach you to think in dates, so your first instinct may be to use Lunatask the same way – but doing so, you would immediately bump into problems and confusion. Lunatask works differently, offering a more human, forgiving, now-focused approach that helps you step away from thinking in dates 💡 Unlike other apps that try to organize your life by asking you to create plans – decide what to do and when - and eventually fall short, Lunatask embraces the fact that the future is inherently uncertain rather than fighting it. The future always changes, new tasks and priorities pop up, one underestimates one thing or another, or a friend may suddenly need help. You may feel unwell or simply have a poor night’s sleep – life happens. Whatever the case, plans become obsolete quite quickly or fail to meet eventual reality. Even worse, they can leave you feeling like you’ve failed – but the truth is, it’s not you who failed, it’s the system that failed you 💡 Instead of forcing you into a rigid, artificial system that ultimately doesn’t work, we offer [many tools](https://lunatask.app/docs/features/tasks/overview) and [workflows](https://lunatask.app/docs/features/tasks/workflows) to help you reduce overwhelm, improve focus, minimize distractions, and guide you to work through your tasks in an organized, manageable, and forgiving way – one by one, without relying on dates. Scheduling is still available for future tasks or when you intentionally choose a date-based workflow, so keep reading to learn when to reach for scheduling and when not. Note Keep in mind that many points in this article don’t apply to our planning, date-based [Play Your Days](https://lunatask.app/docs/features/tasks/workflows#plan-your-days) workflow. Scheduling there is simple, straightforward, and works as you’d expect – with all its upsides and downsides. Future tasks and reminders[](https://lunatask.app/docs/features/tasks/scheduling/date-based-scheduling#future-tasks-and-reminders "Direct link to Future tasks and reminders") -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- In Lunatask, use date-based scheduling to keep a future task out of sight until it becomes actionable (i.e. _“Hey Lunatask, remind me in three months that I need to …”_). Real-world example After my dog’s annual vaccination, I create a new task (reminder) for the same time next year to take them for their next visit. To do this, open the task and choose the option to schedule or defer it. Then pick or type a date – our natural language parser will do its best to interpret it. tip No need to open a task – just select it in the list and press `S` to bring up its quick scheduling window. Learn about all keyboard shortcuts [here](https://lunatask.app/docs/keyboard-shortcuts) . On mobile, long-press a task in your list to open its quick actions menu. Future tasks are automatically set to `Later` and move to the bottom of your list, as tasks are always sorted from most to least actionable. ### “just came up” reminders[](https://lunatask.app/docs/features/tasks/scheduling/date-based-scheduling#just-came-up-reminders "Direct link to “just came up” reminders") Nice – you’ve just created a future reminder. When the time comes, Lunatask will bring it back to your attention, showing it above your task list in “just came up” notification area, along with a red badge across the app. Do next Tasks in “just came up” aren’t meant to stay there – move it where it now fits your plans. You can move it into your current focus, into “Later”, or postpone it again for another later date 👈 Most likely, you’ll now move it into your current focus – your current tasks. How these are organized depends on the [workflow](https://lunatask.app/docs/features/tasks/workflows) you use: * In [Now / Later](https://lunatask.app/docs/features/tasks/workflows#now-later) workflow, you have only one section called “Now“ * In [Kanban](https://lunatask.app/docs/features/tasks/workflows#kanban) workflow, it will likely go into the “Next” section, or jump in immediately and move it straight to “In Progress” * In [Must/Should/Want](https://lunatask.app/docs/features/tasks/workflows#must-should-want) , your current tasks are further broken down into "Must", "Should", and "Want" – move it where it fits * In [Eisenhower Matrix](https://lunatask.app/docs/features/tasks/workflows#eisenhower-matrix) , your current tasks are organized into four sections based on importance and urgency – set its current importance and urgency at the moment ### Scheduling in Lunatask[](https://lunatask.app/docs/features/tasks/scheduling/date-based-scheduling#summary "Direct link to Scheduling in Lunatask") While we offer workflows for date-based planning (such as [Plan Your Days](https://lunatask.app/docs/features/tasks/workflows#plan-your-days) ) that still encourage you to address older tasks first, most our workflows work differently. They free you to focus on what matters right now – your current focus – instead of building a perfect plan you’ll abandon, or that becomes obsolete shortly as new priorities pop up, you misjudge how much energy you’ll have on a given day, or whatever else happens. Key insight The future is inherently uncertain – it changes, as it always does. You can only work on one task at a time, so rather than treating your task lists as rigid plans, think of them as perfectly organized and presented overviews of options to choose from when the moment comes. Outside of date-based workflows, dates aren’t supposed to be involved or needed except for truly future tasks. Tasks are instead already organized by age, priority, status, and other similar concepts in the most helpful, guiding, and forgiving way. Another way to look at it Most of our workflows work like Kanban or Trello boards. On Kanban boards, you don’t assign dates to cards – you move cards on the board instead 💡 Also, nothing changes on a Kanban board at midnight – it looks the same when you go to sleep today and when you wake up tomorrow – it always reflects the current state of things. No need to constantly manage your to-do list, no rescheduling when new priorities pop up, no pushing things to tomorrow, and no feeling of failure when you don’t finish everything in “Today” for a given day – that’s the forgiving power of replacing a date with a simple word “Now” 🌟 Date changes at midnight, whereas nothing happens to your current focus – you will just continue next day. Give this approach a try and let go of date-based thinking that most apps encourage. Need even more help with organization? Try our [Kanban workflow](https://lunatask.app/docs/features/tasks/workflows#kanban) . Is prioritization still an issue? Let [Must/Should/Want](https://lunatask.app/docs/features/tasks/workflows#must-should-want) tell you what’s most important first. It’s a wonderful, more forgiving, human, and actually manageable way to prioritize work, life goals, and everyday tasks as they come and go. It always keeps your list focused and achievable – no dates or constant rescheduling required. Instead of managing your tasks like a calendar, you’ll get a smart, ever-evolving list that’s always up to date and highlights what matters most right now – built by people with ADHD in the most guiding, forgiving, ADHD-friendly way possible. What not to do in Kanban-like workflows That said, let’s summarize what to avoid and consider: **Avoid scheduling a task for “Today“** ❌ Conceptually, it doesn’t add up – you already have your current tasks and focus in front of you, whether the section is labeled “Now” or [differently](https://lunatask.app/docs/features/tasks/workflows) . Use sections and manually adjust priorities instead. **Avoid using scheduling for planning** ❌ Don’t use scheduling for planning – tasks naturally rise in your list as they age, while priorities and sections reflect what matters most to you. You can still use scheduling for future reminders – just keep the following point in mind. **Scheduling a task resets its age ⚠️** A small detail, but worth noting – since “age” plays an important role in Lunatask to keep even long lists organized and guiding, there may be an unintended consequence you might not realize at first. Returning to our earlier “dog’s vaccination” example – when the task for next year’s visit comes up, what should its age be? How long has it actually been actionable? 💡 It is – as it should be – irrelevant exactly when throughout the year you create this future task, this future reminder. It only becomes a real to-do once its time arrives – on that day next year. Go next Now that you understand how to work with dates, continue by learning how to work with “time” in our article on [Time Blocking](https://lunatask.app/docs/features/tasks/scheduling/time-blocking) – and how it all fits together 👈 * [Future tasks and reminders](https://lunatask.app/docs/features/tasks/scheduling/date-based-scheduling#future-tasks-and-reminders) * [“just came up” reminders](https://lunatask.app/docs/features/tasks/scheduling/date-based-scheduling#just-came-up-reminders) * [Scheduling in Lunatask](https://lunatask.app/docs/features/tasks/scheduling/date-based-scheduling#summary) --- # Recurring tasks | Lunatask [Skip to main content](https://lunatask.app/docs/features/tasks/recurring-tasks#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 Lunatask supports setting up complex recurrence rules for tasks. To simplify things and to save up some precious development time, we opted not to build a complex UI for creating recurrence rules – instead, we let our natural language parser do the heavy lifting. You can also set a future start or end date for each recurrence pattern. Here are a few examples of queries our parser understands: * Every two days * Every 21 days * Every Monday and Friday * Every Mon, Tue, Wed, Thu * Every weekday/workday * Every month on last day * Every month on the second Thursday * Every month on the 8th * Every February on the first day The general formula for what our parser can interpret looks a little bit like this: Every [N] (day(s)|week(s)|month(s)|...) on [(first|last)] [(weekday|monthday|...)] Anyway, here we think the best approach is to just play with it 🤞 tip Some rules are currently not supported, for example, “every other day”. Try rephrasing the query a little – in this case, use “every 2 days”. Instead of “every second Sunday”, try “every 2 weeks on Sunday”. caution It’s not possible to combine “workday” with “first” or “last” modifiers. Therefore, queries like “Every month on the last workday” are currently not supported. --- # Tasks | Lunatask [Skip to main content](https://lunatask.app/docs/features/tasks/overview#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 On this page This guide covers Lunatask’s amazing, unique approach to task management, including flexible workflows, priority-based lists, and productivity techniques designed for real people who want to get stuff actually done this time. ![Task list](https://lunatask.app/assets/images/must-should-want-workflow-420f4f1058e3e742477068e2a5fa704b.png) ### Your to-do list isn’t broken – you’re just using it like a calendar[](https://lunatask.app/docs/features/tasks/overview#your-to-do-list-isnt-broken--youre-just-using-it-like-a-calendar "Direct link to Your to-do list isn’t broken – you’re just using it like a calendar") At Lunatask, we believe in a more forgiving, human, and actually manageable way to prioritize work and life goals. Our **“Now / Later” method** is designed to keep your list always focused and achievable. Instead of treating your task list as a calendar, Lunatask gives you a smart, evolving list of what matters now, without the stress of arbitrary due dates. Tasks naturally surface when they become relevant, so it’s like having priority on autopilot. Here’s why Lunatask’s productivity method works[](https://lunatask.app/docs/features/tasks/overview#heres-why-lunatasks-productivity-method-works "Direct link to Here’s why Lunatask’s productivity method works") --------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- **You decide what matters “now”, everything else lives in “later”.** Lunatask makes sure you always know what to do next, so you can truly focus just on your current focus, instead of having one overwhelming long list of everything. That’s what sets Lunatask apart from tools like Todoist or Sunsama. Tasks that aren’t relevant now stay out of view, but they don’t disappear. As time goes by, they gain relevance and rise to your attention, without creating plans that fall apart quickly. So, what is “Now” in Lunatask?[](https://lunatask.app/docs/features/tasks/overview#so-what-is-now-in-lunatask "Direct link to So, what is “Now” in Lunatask?") ---------------------------------------------------------------------------------------------------------------------------------------------------------------- **“Now” is your current focus**, not tied to a date or deadline — just the tasks that feel important or actionable right now. **You give meaning to “Now”** — whatever it may mean to you at any given moment. Everything else waits quietly for its turn in “Later”, automatically sorted by how long it’s been waiting, and other details you’ve added to guide you and help you choose. **When you’re ready to move on, the next thing is likely already at the top.** You can always **tell Lunatask what’s important to you by adjusting a task’s priority** to shape how Lunatask sorts your list and decide what comes first and what can wait, because letting your passport expire is a bigger deal than forgetting to deep clean your washing machine. Food for thought Ask yourself – are all those tasks in your overflowing “Today” view in Things 3 truly “today”? Or aren’t they just “next” in reality? Will this work for me?[](https://lunatask.app/docs/features/tasks/overview#workflows "Direct link to Will this work for me?") ------------------------------------------------------------------------------------------------------------------------------- If [Now/Later](https://lunatask.app/docs/features/tasks/workflows#now-later) doesn’t quite fit how you like to work, that’s okay. It’s just one of [many workflows](https://lunatask.app/docs/features/tasks/workflows) Lunatask offers to organize your tasks. Find Now/Later too limiting, not giving you enough structure? Try our [Kanban workflow](https://lunatask.app/docs/features/tasks/workflows#kanban) . Prefer a single, simple backlog? Use our [Priority List](https://lunatask.app/docs/features/tasks/workflows#priority-list) . Still want to work with dates? Try [Plan Your Days](https://lunatask.app/docs/features/tasks/workflows#plan-your-days) . Unsure what’s most important? Give a shot to either [Must/Should/Want](https://lunatask.app/docs/features/tasks/workflows#must-should-want) or [Eisenhower Matrix](https://lunatask.app/docs/features/tasks/workflows#eisenhower-matrix) . tip The beauty of Lunatask is being able to switch between workflows freely without anything getting lost – unlike in other apps where after changing the structure of our task list you can’t easily get back to the original state. With that, you can even **you can mix and match workflows**. You can plan using one workflow and execute in another. One might figure out what’s important using [Eisenhower matrix](https://lunatask.app/docs/features/tasks/workflows#eisenhower-matrix) , assign a date to each task, and then switch to [Plan Your Days](https://lunatask.app/docs/features/tasks/workflows#plan-your-days) for the rest of the week to work on their tasks. No matter which workflow you choose, Lunatask’s automatic prioritization of your future options – based on age, status, priority, and other properties – always works behind the scenes to keep your list tidy, manageable, and organized. info You can always raise a task’s priority to move it higher in the list and inform Lunatask of what’s important to you – in the task detail, right-click menu, or via `Shift+Arrow Up` keyboard shortcut. Future tasks, reminders, and scheduling[](https://lunatask.app/docs/features/tasks/overview#scheduling "Direct link to Future tasks, reminders, and scheduling") ------------------------------------------------------------------------------------------------------------------------------------------------------------------ Key insight and essential next step ‼️ As you’ve learned here, Lunatask comes with its own unique Kanban-like, guiding, and forgiving approach to organization and prioritization, where dates are rarely needed. What you learn in this article or in our detailed guide covering all our [workflows](https://lunatask.app/docs/features/tasks/workflows) is only half of the picture. With that in mind, it’s absolutely essential to learn and understand how to [work with dates, future tasks, reminders, and scheduling](https://lunatask.app/docs/features/tasks/scheduling/date-based-scheduling) correctly in Lunatask 💡 Understanding the full mental model and how those fit in – when to reach for scheduling and when not – is critical, so feel free to pause here and read [that article](https://lunatask.app/docs/features/tasks/scheduling/date-based-scheduling) before we continue 👈 How to set up your Lunatask[](https://lunatask.app/docs/features/tasks/overview#areas "Direct link to How to set up your Lunatask") ------------------------------------------------------------------------------------------------------------------------------------- In our app, tasks live in lists called [areas of life](https://lunatask.app/docs/how-to/structure-areas) , which in turn can have goals. You start with a single area of life for your personal tasks, but also can create additional ones (like “Work” or “Education”). You can create any number number of goals within each area. Goals can be projects like “Finish website” or other things you want to achieve in life (like “Learn Japanese” or “Make more music”) – more on them, how to use them or abuse them, later in this article. We believe that one can only truly focus on one area at a time. When at work, you want to focus on work-related tasks so your home chores and bills to pay stay out of view. Whereas on weekends, you don’t want to be stressed with work that’s not relevant at the moment – **areas of life create clear boundaries**. tip Start with just a few areas, like “Work” and “Personal”, and only add new ones once you’re sure you need them. For example, you might later decide to create a separate area for movies you’d like to watch so they don’t clutter your personal to-dos, but don’t try to overthink it at first. See our guide on [how to choose and structure your areas](https://lunatask.app/docs/how-to/structure-areas) correctly to avoid potential issues 👈 #### Tracking goals and projects[](https://lunatask.app/docs/features/tasks/overview#goals "Direct link to Tracking goals and projects") Whereas areas separate dimensions of your life, goals are here for tracking and organizing things you want to achieve within that dimension. Although you can think of goals just as nested lists or folders, they offer a few additional features. For example, goals automatically calculate your progress based on completed and pending tasks. You can also add a due date to a goal to see how much time you have left to complete it, which is great for projects with a deadline. tip Since goals are basically just nested lists, folders, or categories with additional functionality, feel free to be creative with how you use or even abuse them – whatever works for you. It’s fine to have “goals” acting as folders or tags, such as “Chores”, “Archive”, “Roadmap”, “Backlog”, “Bugs”, or “Movies”. In that case, feel free to hide the progress bar in their settings. Integrations[](https://lunatask.app/docs/features/tasks/overview#integrations "Direct link to Integrations") -------------------------------------------------------------------------------------------------------------- There are powerful integrations that let you create tasks across different platforms or bring them into Lunatask from other apps and services. Here are a few examples of what you can do: * Turn emails and conversations into tasks by forwarding them to Lunatask with our [email integration](https://lunatask.app/docs/features/integrations/email-integration) * Save web pages, articles to read, or videos to watch later using [browser extensions](https://lunatask.app/docs/features/integrations/browser-extension) * Quickly capture new tasks by talking to [Siri](https://lunatask.app/docs/features/integrations/voice-assistants) on your iPhone, Apple Watch, or HomePod * Connect to 5,000+ apps and services using [Zapier automation platform](https://lunatask.app/docs/features/integrations/zapier-integration) * Build powerful automations using [Shortcuts](https://lunatask.app/docs/features/integrations/shortcuts) (on iOS and Mac) or [Tasker](https://lunatask.app/docs/features/integrations/community-tools#tasker) (on Android) * Use [community-built tools](https://lunatask.app/docs/features/integrations/community-tools) such as extensions for [Alfred](https://lunatask.app/docs/features/integrations/community-tools#alfred) or [Raycast](https://lunatask.app/docs/features/integrations/community-tools#raycast) , CLIs, MCP servers, and more * Build your own integration using [Lunatask API](https://lunatask.app/api/overview) info As your data in Lunatask [encrypted](https://lunatask.app/docs/getting-started/privacy) , our integrations can only bring tasks in, but not to sync them out to other apps. This is a common limitation of end-to-end encrypted apps, where privacy comes at the cost of easy data sharing – if you need to take your data elsewhere, use [export export](https://lunatask.app/docs/features/import-export) . More details and an official announcement are coming soon 🎉 On this page When the task seems either long or difficult, people’s tendency might be to avoid it, even if the task is important or urgent. Our timers are similar to timers in Pomodoro technique. They serve the same purpose — to help you to get started on an intimidating task you would otherwise be tempted to procrastinate on or be avoiding. Why timers work?[](https://lunatask.app/docs/features/tasks/timers#why-timers-work "Direct link to Why timers work?") ----------------------------------------------------------------------------------------------------------------------- The most difficult part is to get started. By setting up a timer, you decide to initially commit only some short fixed time. It’s much easier to commit to, for example, just 25 minutes than the entire two hours the task might require - baby steps. This removes that mental block. When the timer runs out, and you still have an issue with the task, that’s okay — leave it for some other time and repeat the process. However, there’s a good chance that once you get started and get through the initial obstacle, you will follow through with the task. info Our timers are cloud-enabled. Running the timer on one device will make it show up on all your devices, including in our mobile app. Hidden feature on mobile Upon clicking the purple timer banner at the top of the screen in our mobile app, the timer will go full-screen and prevent the screen from sleeping, so you can keep a running timer visible on your desk throughout the whole focus session. How to create timers?[](https://lunatask.app/docs/features/tasks/timers#how-to-create-timers "Direct link to How to create timers?") -------------------------------------------------------------------------------------------------------------------------------------- To start a timer, open the task detail and pick the timer length. ![Set timer](https://lunatask.app/assets/images/timer-103e9d34837d90b40ab7d7d24fb1620e.png) tip Alternatively, select the task in the list and press `F` key on the keyboard — a timer for 25 minutes will start. You can also cancel the running timer via keyboard shortcut — simply press `Q` on the keyboard. info Tasks are automatically marked `In progress` when the timer is started where it makes sense to do so. info The ability to set arbitrary timer length is coming to our desktop app in the future (our mobile app already has this feature) 🤞 Once the timer finishes, you will hear an audio bell, and a system notification will pop up (on desktop). The audio bell can be disabled in the settings. On Mac, running the timer will show the remaining time also in the status area, so it’s always in your sight, even if you’re working in another app. ![Status area timer on Mac](https://lunatask.app/assets/images/timer-status-area-e700d0c52636a92a2ff7f48a33eef500.png) caution On Mac, items in the status area hide if they don’t fit the remaining space. Depending on the application in the foreground and how much space it needs for its menu items, the timer in the status area might get hidden. If you don’t see it when you start a timer, it’s likely for this reason. Our timers vs Pomodoro timers[](https://lunatask.app/docs/features/tasks/timers#our-timers-vs-pomodoro-timers "Direct link to Our timers vs Pomodoro timers") --------------------------------------------------------------------------------------------------------------------------------------------------------------- Our timers are slightly different from more traditional timers from Pomodoro technique. In Pomodoro technique, the timer is independent of specific tasks, and you’re allowed to work on multiple tasks within a single pomodoro (a 25-minute block). In Lunatask, the timer is always run for a specific task. We take inspiration from Pomodoro technique and share the same goal to help you get started on an intimidating task, but we do it in our own way — let’s call it Pomodoro technique, the lite version. * [Why timers work?](https://lunatask.app/docs/features/tasks/timers#why-timers-work) * [How to create timers?](https://lunatask.app/docs/features/tasks/timers#how-to-create-timers) * [Our timers vs Pomodoro timers](https://lunatask.app/docs/features/tasks/timers#our-timers-vs-pomodoro-timers) --- # Subtasks | Lunatask [Skip to main content](https://lunatask.app/docs/features/tasks/subtasks#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 On this page Lunatask handles subtasks through checklists embedded in task descriptions, offering full flexibility of Markdown documents to arrange them — nest items, organize them under different headings, or place them right into the middle of your project breakdown. To add subtasks, use formatting toolbar and add a checklist. For an even smoother experience, just type `[]` or `[ ]`, press `Space`, and continue typing — no need to take your hands off the keyboard. Reordering subtasks is easy too — just handy `Alt+Arrow Up` or `Alt+Arrow Down` shortcuts, or select the option from the formatting toolbar. ![Subtasks](https://lunatask.app/assets/images/subtasks-b68bb3d45d2b5ae3898fca6503e5661f.png) Personal note from Mike In general, there are two paths to implementing subtasks – either one implements proper (sometimes called “real”) subtasks, which are their own entities in the data model a have a relation/connection to their parent task, or one chooses the other approach, leveraging the power of Markdown documents. Each approach has its own benefits and downsides. In the very beginning, when Lunatask was a side project I just started building for my own needs on weekends – a very simple, basic to-do app but with unique approach for managing the workload I needed to handle – given my needs and Lunatask’s no other feature set at the time (no calendar, no time-blocking, no timers), I picked the approach of flexibility Markdown documents provide. People sometimes ask for implementing or adding support for “real” subtasks – the opposite approach to what we’ve been building upon for all these years – pointing out current limitations, like not being able to drag a subtask onto the calendar or start a timer on it. I certainly understand the limitations – but it’s not something we can just say “scratch that”, go the other way, and somehow slap “real” subtasks onto Lunatask, this far down the road. It’s too late for “real” subtasks in Lunatask, but that doesn’t mean we can’t iterate and improve on what we have – automatic progress tracking we have nowadays is a great example. On the other hand, I have ADHD. I struggle with motivation, focus, overwhelm, starting on tasks, and everything that comes with that – whether it’s constant stress, anxiety, you name it. Yet strangely, I don’t personally have this problem. I work on features and tasks for Lunatask of all sizes. When building a new editor, replacing the old one we had for years, I had one big “in progress”, “New editor” task, which took almost two months to complete, with many, many subtasks, notes, and links in it (that’s where Markdown comes in handy!) – it was a big project. At the same time, dozens of other tasks and issues had to be done or addressed – whether internal, support, marketing-related, bug fixes, etc. So, I was either working on those – let’s say, some small marketing task – or I was working on the editor. If I were using time-blocking, I’d schedule the marketing task at some time on the calendar, and then schedule to continue working on the editor for three more hours afterward – makes sense, no problem at all. This example makes me think and question whether not being able to drag a subtask onto the calendar is really such a big problem or limitation, and not just something people only think they need, or perhaps are just accustomed to from another app they used before. I don’t know, but certainly food for thought 💡 Progress tracking[](https://lunatask.app/docs/features/tasks/subtasks#progress-tracking "Direct link to Progress tracking") ----------------------------------------------------------------------------------------------------------------------------- If there are subtasks, you’ll notice a subtle progress bar beside task’s name in your task list. There are two ways to track progress on multi-step tasks. By default, Lunatask calculates it automatically, keeping it always up to date. Alternatively, you can override it and maintain manually, depending on your exact needs for each specific task or project. * [Progress tracking](https://lunatask.app/docs/features/tasks/subtasks#progress-tracking) --- # Work-in-progress limit | Lunatask [Skip to main content](https://lunatask.app/docs/features/tasks/work-in-progress-limit#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 People love to start things, but we sometimes struggle to finish them. A work-in-progress limit is a feature designed to nudge you to complete the work you already started before taking on new work. This increases throughput and reduces the amount of work that’s “nearly done” – it helps you work more efficiently. ![Work-in-progress limit](https://lunatask.app/assets/images/wip-limit-93624b632050cffb5f625ea658e88a53.png) In the settings, configure when Lunatask should tell you that you have too much unfinished work. info This feature is available in our [Kanban](https://lunatask.app/docs/features/tasks/workflows#kanban) workflow, where it counts the number of tasks marked `In Progress`, as well as in the [Now / Later](https://lunatask.app/docs/features/tasks/workflows#now-later) workflow, where it tracks tasks placed in the `Now` section. When you reach the limit, you can still start or add new tasks, but a message will show at the top of the list to notify you. tip You can configure the work-in-progress limit in the settings, or disable it altogether. --- # Weather Widget | Lunatask [Skip to main content](https://lunatask.app/docs/features/weather#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 On this page Going out only to realize you forgot to check the weather? Lunatask shows the current weather condition and temperature, so you’re more mindful of the situation behind the window and are always appropriately dressed. info If you have another way to know the weather before going out, the weather widget can be disabled in the settings. tip You can toggle whether to display the actual temperature or “feels like” temperature in the settings. Temperature units used (Celsius or Fahrenheit) can also be set there. The temperature and weather conditions are updated automatically every 5 minutes. How my location is determined?[](https://lunatask.app/docs/features/weather#how-my-location-is-determined "Direct link to How my location is determined?") ------------------------------------------------------------------------------------------------------------------------------------------------------------ By default when you sign up, your location is automatically inferred from your IP address using IP-based geolocation. However, this location may be inaccurate depending on your ISP’s IP routing or proxy usage. To check whether the inferred location is accurate, hover over the weather widget in the menu to see details. ![Weather location](https://lunatask.app/assets/images/weather-tooltip-ca3f3ed792fcc97c93a0c5395d2897ff.png) tip If the inferred location is inaccurate, you can override the location manually in the settings. More details and an official announcement are coming soon 🎉 On this page Start here Once you’ve learned [foundational philosophy](https://lunatask.app/docs/features/tasks/overview) behind our guiding, forgiving approach – embracing the fact that the future is inherently uncertain – and understood how to work with [future tasks and setting up reminders](https://lunatask.app/docs/features/tasks/scheduling/date-based-scheduling) (an essential next step), let’s build on that in this article on Time Blocking. Time blocking is about planning your [tasks](https://lunatask.app/docs/features/tasks/overview) and [habits](https://lunatask.app/docs/features/habits) into your day around and in between your meetings, appointments, and other duties. ![Calendar](https://lunatask.app/assets/images/screenshot-4-f327f97986878b2d85fbf1c2dd6d6901.png) Why use time blocking?[](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#why-use-time-blocking "Direct link to Why use time blocking?") ----------------------------------------------------------------------------------------------------------------------------------------------------------- Time blocking is an optional feature, not one Lunatask is fundamentally built around, unlike some other apps. After covering the concepts in our previous two articles, you might wonder why we even offer time blocking – doesn’t it go against what we teach, reintroducing the problem we’re trying to solve? ⁉️ It can indeed seem like that at first, but think of it as just another tool in your toolbox – or an optional third layer for days when you need it. Those days might be rare, none at all, or most may be like that – depending on your workload, other factors, but also on you as a person. #### When your day feels scattered[](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#when-your-day-feels-scattered "Direct link to When your day feels scattered") When you sit down to work, but your attention keeps jumping between emails, tasks, and random ideas, giving structure to your day may help keep you focused on a task – knowing you’ll eventually get to those emails later, since you’ve already set aside time for them. #### When your day is full of meetings or appointments[](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#when-your-day-is-full-of-meetings-or-appointments "Direct link to When your day is full of meetings or appointments") With your calendar filled with meetings, calls, or appointments, leaving only small pockets of time in between, time blocking can help realistically evaluate the available time you have, what fits in and what doesn’t – to avoid overcommitting, starting tasks you won’t be able to finish, and help better prioritize your work. #### When you keep postponing important tasks[](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#when-you-keep-postponing-important-tasks "Direct link to When you keep postponing important tasks") Long or uncomfortable tasks often get ignored or postponed, as one might have a tendency to avoid them even when they’re important. Lunatask already helps by surfacing them and gradually moving them higher in your list as days go by – but that might still not be enough. By assigning it a time, it becomes a commitment rather than just an intention – [timers](https://lunatask.app/docs/features/tasks/timers) help in a similar way. In summary These are just a few examples, but time blocking can be helpful for certain challenges you’re dealing with – or it may simply fit your preferred working style. So, while we teach a different, more human, forgiving approach – recognizing and embracing that the future and priorities always change, while dates and rigid plans fail to meet the eventual reality or lead to a sense of failure – time blocking still has its place in Lunatask. It’s simply another useful tool in your toolbox – there when you need it 🌟 How to plan tasks into my day?[](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#how-to-plan-tasks-into-my-day "Direct link to How to plan tasks into my day?") ----------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- #### On desktop[](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#on-desktop "Direct link to On desktop") To open the calendar in Lunatask, press the calendar icon in the main menu at the top. Alternatively, you can toggle whether the calendar is open by pressing `CMD+S` (on Mac) or `Ctrl+S` (on other platforms). Then, drag your tasks directly from your task list onto the calendar to plan them into your day as you see fit, or drag across an empty time slot to create a new task. Tomorrow calendar When the sidebar is resized wide enough, tomorrow appears – allowing you to plan your next day hour by hour. #### On mobile[](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#on-mobile "Direct link to On mobile") To plan a task into your day, either open its details and select the option there, or long-press the task in your list to access a quick actions menu. How to plan or schedule habits into my day?[](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#how-to-plan-or-schedule-habits-into-my-day "Direct link to How to plan or schedule habits into my day?") -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- To one-time plan or have them scheduled automatically, see to our dedicated article on [habit scheduling](https://lunatask.app/docs/features/habits#scheduling) . How to resize or move time blocks On desktop, resize time blocks by dragging their bottom edge and move them with your cursor. On mobile, tap and hold a finger to switch to edit mode. Wait, there’s more![](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#wait-theres-more "Direct link to Wait, there’s more!") ------------------------------------------------------------------------------------------------------------------------------------------------ While mainly built for time blocking, its calendar-like interface goes beyond that – letting you connect external calendars, join meetings with a single click, create notes for events, and more. Explore next Learn more in our [Today Calendar](https://lunatask.app/docs/features/calendar) article about all its features, along with helpful tips and how to use them 👈 FAQ[](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#faq "Direct link to FAQ") --------------------------------------------------------------------------------------------------- #### I have an appointment in a week – can I add a start time to my task?[](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#i-have-an-appointment-in-a-week--can-i-add-a-start-time-to-my-task "Direct link to I have an appointment in a week – can I add a start time to my task?") Task lists and time blocking are meant for your to-dos, and the more you go into the future, the fuzzier it becomes regarding when you will work on them – that’s natural, okay, and Lunatask embraces that. There are different degrees of certainty in how you plan your to-dos for today compared to Friday five days from now. Who knows what other priorities and things pop up between now and then, right? Likely, the plan you create today for your Friday will be outdated before Friday comes – why make it then? Events like “Appointment with a doctor” are fixed in time and should live in your calendar (e.g. Google, iCloud, or Outlook Calendar), not in your task list – you can then sync them into Lunatask using our [calendar integrations](https://lunatask.app/docs/features/calendar) 👈 To-dos, on the other hand, are meaningless to plan minute by minute long into the future, as such a rigid approach usually fails to reflect the eventual reality. #### When I complete a task, some of my time blocks disappear[](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#when-i-complete-a-task-some-of-my-time-blocks-disappear "Direct link to When I complete a task, some of my time blocks disappear") When completing a task, past time blocks are marked as complete, and future ones are removed. Think about it this way: You have a task, decide to work on it for 2 hours in the morning, and then 2 hours at 3 PM after lunch and some meetings – but you’ve been very productive today and finished the task at 10 AM. Now, you want to see that you have a free window at 3 PM, right? There’s no reason for that future time block to exist anymore – it doesn’t reflect anything real, as the task is already complete. #### When I update time block length, the estimate doesn’t change[](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#when-i-update-time-block-length-the-estimate-doesnt-change "Direct link to When I update time block length, the estimate doesn’t change") This is expected. Just because you decided to work on a task two hours before lunch doesn’t mean it will take two hours to complete. You might work on the task also later in the day or tomorrow in another time block. It works the same way the other way around – you might have a two-hour task, but decide to create a three-hour time block on the calendar (just in case or for whatever other reason). For many small tasks (like 15-minute tasks), the time block length will often match the estimate. That’s also why the default length for newly created time blocks matches the task’s estimate, but it’s a loose relationship that isn’t always kept in sync in both directions, as explained here. Always keep the remaining time needed to complete the task up to date manually – the app can’t truly know. Info Lunatask isn’t designed with “smart” behaviors that work only 80% of the time, while surprising you, annoying you, or doing something unexpected in the remaining 20%. Trying to be “smart” and somehow automatically sync time block length with remaining time, potentially overriding the value you manually set, that’s tricky – it wouldn’t work in practice. * [Why use time blocking?](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#why-use-time-blocking) * [How to plan tasks into my day?](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#how-to-plan-tasks-into-my-day) * [How to plan or schedule habits into my day?](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#how-to-plan-or-schedule-habits-into-my-day) * [Wait, there’s more!](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#wait-theres-more) * [FAQ](https://lunatask.app/docs/features/tasks/scheduling/time-blocking#faq) --- # Workflows | Lunatask [Skip to main content](https://lunatask.app/docs/features/tasks/workflows#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 On this page This article explores each productivity, prioritization, or organization method in detail to help you choose which one to use in each context – in each [area of life](https://lunatask.app/docs/how-to/structure-areas) , a different workflow might be more suitable. hey there, amazing person! If you haven’t yet read our overview of the unique productivity method behind Lunatask and why it actually works, [start here first](https://lunatask.app/docs/features/tasks/overview) — it explains everything you need to know on a single page. You can then dive into specific productivity workflows below in this article. Before we dive in further, there are three ways to create a new task: * Click the big blue “add” button at the bottom of the menu on the left * Hover over the name of any section, and the button to add a new task into the section will appear * Press `A` on the keyboard – alternatively, `CMD+N` (on Mac) or `Ctrl+N` (on other platforms) About our workflows All our workflows are yet another layer of our unique approach and philosophy – doing all a to-do can to help you, guide you, organize and present you with an overview of future options to work on in the most helpful, guiding, and actually manageable way – all on its own, so you don’t have to 🌟 tip Use `Shift+Arrow Up` to increase a task’s priority and let Lunatask know what’s important to you, or use `Shift+Arrow Right/Left` to quickly move tasks between sections. tip No need to look at tasks that aren’t relevant now. Once you plan the tasks to work on next, feel free to collapse `Later` section by clicking its name. Priority List[](https://lunatask.app/docs/features/tasks/workflows#priority-list "Direct link to Priority List") ------------------------------------------------------------------------------------------------------------------ In this workflow, your tasks live in one long list – no sections, not statuses. Almost like you would do with paper and pencil – it’s great for personal tasks, shopping lists, and other short lists. ![Priority list workflow](https://lunatask.app/assets/images/priority-list-workflow-c8e58f3c36dc58f9e6d0659cd5419b5d.png) info Since this simple workflow treats all tasks equally, “Next to work on” overview shows only the top 10 tasks for areas using this workflow to keep you focused and avoid too much clutter 🧹 tip As in any other workflow, a task with the highest urgency is always highlighted in bold as the next task to work on – although this can be disabled in the settings. Now / Later[](https://lunatask.app/docs/features/tasks/workflows#now-later "Direct link to Now / Later") ---------------------------------------------------------------------------------------------------------- Our simplest workflow with sections. It serves as a default workflow upon which our more advanced workflows are built – like our [Kanban](https://lunatask.app/docs/features/tasks/workflows#kanban) or [Must/Should/Want](https://lunatask.app/docs/features/tasks/workflows#must-should-want) workflows. In this workflow, tasks live in two buckets called `Now` and `Later`. `Now` bucket is where you keep tasks to work on now (your current focus), while `Later` holds candidates to work on in the future. ![Now / Later workflow](https://lunatask.app/assets/images/now-later-workflow-1121ad4d4511f950af824a170f9b8c48.png) tip In area settings, you can change the initial section for newly created tasks. By default, it’s `Later`, but it can be switched to `Now`, if you wish. info This workflow supports [work-in-progress limit](https://lunatask.app/docs/features/tasks/work-in-progress-limit) when enabled and configured in the settings – a warning will show when you have too many tasks in your `Now` section. Kanban[](https://lunatask.app/docs/features/tasks/workflows#kanban "Direct link to Kanban") --------------------------------------------------------------------------------------------- This workflow is an extension of our [Now / Later](https://lunatask.app/docs/features/tasks/workflows#now-later) workflow, where your `Now` tasks are broken down even further to give you more structure. In this workflow, your current tasks are broken down by their status, with the section for `In progress` tasks at the top, then your `Next` tasks to work on after you finish what you already started, then your `Waiting` tasks, and finally your backlog of tasks to work on and pick from in the future. This workflow encourages you to finish existing unfinished tasks before taking on new ones. ![Kanban workflow](https://lunatask.app/assets/images/kanban-workflow-859463b978b2a535a9ca84b28695746d.png) This is similar to a traditional Kanban board, where tasks start on one side and move to the other as progress is made. Compared to a traditional Kanban board, the visual difference is that in Lunatask, sections are stacked vertically rather than arranged horizontally in columns, but the concept is the same. tip In area settings, you can change the initial status for newly created tasks. By default, it’s `Later`, but it can be switched to `Next`, if you wish. info This workflow supports [work-in-progress limit](https://lunatask.app/docs/features/tasks/work-in-progress-limit) when enabled and configured in the settings – a warning will show when you have too many `In Progress` tasks. Must/Should/Want method[](https://lunatask.app/docs/features/tasks/workflows#must-should-want "Direct link to Must/Should/Want method") ----------------------------------------------------------------------------------------------------------------------------------------- **⚡️ This feature is available on Premium plan** This workflow is our modification of [MoSCoW productivity method](https://en.wikipedia.org/wiki/MoSCoW_method) and an extension of our [Now / Later](https://lunatask.app/docs/features/tasks/workflows#now-later) workflow, where your `Now` tasks are broken down even further to help you figure out what’s important. For each of your current tasks, choose whether it’s a `Must`, `Should`, or `Want`. This will tell you what is important, what isn’t, and what to focus on first. As in other workflows, start working on tasks from the top. ![Must/Should/Want method](https://lunatask.app/assets/images/must-should-want-workflow-420f4f1058e3e742477068e2a5fa704b.png) Insight In Lunatask, your tasks are always automatically sorted by their age and priority. On top of that, our Now/Later approach keeps you focused – to avoid overwhelm and help you get through your tasks in an organized, manageable way. This already does a lot on its own to guide you, but when combined with Must/Should/Want as another additional layer, it becomes incredibly powerful – we believe you won’t find a better prioritization system 🌟 Plan Your Days[](https://lunatask.app/docs/features/tasks/workflows#plan-your-days "Direct link to Plan Your Days") --------------------------------------------------------------------------------------------------------------------- This workflow is designed to better accommodate those who still prefer a date-oriented approach or use Lunatask mainly for its other features. You can plan tasks for specific days (e.g. _“I'll do this today, and that tomorrow”_) or plan your whole upcoming week, rather then work in a Kanban-like fashion without dates as offered by our other workflows. tip If you only have tasks for today or tomorrow, only those sections will appear and you’ll have just a neat _Today / Tomorrow / Later_ to-do list. If you’d like to have just two sections – “Today” and your backlog of tasks to work on and pick from in the future, it’s simpler to use [Now / Later](https://lunatask.app/docs/features/tasks/workflows#now-later) and treat “Now” as “Today”. Remember, it’s up to you to give “Now” (your current focus) a meaning – for you, it could simply be “Today” 💡 ![Plan Your Days workflow](https://lunatask.app/assets/images/plan-your-week-workflow-a0aaa7deb1d32cc0783ecb99626b21e2.png) Tips To schedule a task quickly, just select it in the list and press `S` on your keyboard. On mobile, long-press a task in your list to open its quick actions menu. In area settings, you also can configure where newly created tasks are initially placed - whether in “Today” or in “Later”. Lastly, learn about our approach to [scheduling and planning](https://lunatask.app/docs/features/tasks/scheduling/date-based-scheduling) , and why we instead recommend our other, more forgiving workflows that require less time to manage, avoid constant rescheduling, a sense of failure, and other downsides of rigid, date-oriented approaches 👈 Eisenhower Matrix[](https://lunatask.app/docs/features/tasks/workflows#eisenhower-matrix "Direct link to Eisenhower Matrix") ------------------------------------------------------------------------------------------------------------------------------ **⚡️ This feature is available on Premium plan** You wouldn’t find a prioritization technique more popular than the Eisenhower matrix – famously employed by Dwight D. Eisenhower, the 34th president of the United States. As an extension of our [Now/Later](https://lunatask.app/docs/features/tasks/workflows#now-later) workflow, where your `Now` tasks are broken down even further, this workflow helps you quickly identify the activities you should focus on and the ones you should ignore in your current focus. First, assign to each task whether it’s important or not important, and urgent or not urgent. The matrix will then tell you what to do with each task. | Important | Urgent | Section | | --- | --- | --- | | ✅ | ✅ | Do Now | | ❌ | ✅ | Delegate / Push Back | | ✅ | ❌ | Do Later | | ❌ | ❌ | Avoid / Eliminate | ![Eisenhower matrix picker](https://lunatask.app/assets/images/eisenhower-matrix-1-2d5fcea59b6867e1f633ba0776e0d8d1.png) Once you assign importance and urgency to each of your current tasks, this is how your list will look like: ![Eisenhower matrix workflow](https://lunatask.app/assets/images/eisenhower-matrix-2-c5cbd2f049b7c43ff8c426edeeddf82f.png) tip This workflow also features our signature automatic prioritization – tasks are sorted first by their urgency/importance value, then their assigned priority, and lastly by their age. As in other workflows, start working on tasks from the top. If you have trouble getting started on a task, try starting a [timer](https://lunatask.app/docs/features/tasks/timers) . Upcoming workflows[](https://lunatask.app/docs/features/tasks/workflows#upcoming-workflows "Direct link to Upcoming workflows") --------------------------------------------------------------------------------------------------------------------------------- We’re working on a new _Today / This Week / This Month / This Year / Later_ workflow called “Plan Ahead“ – bringing the best of both worlds, a Kanban-like workflow for scheduling, giving an overview of future plans, and working seamlessly for both tasks with and without dates assigned. info Would you like to see more workflows to pick from implemented? More details and an official announcement are coming soon 🎉 On this page Lunatask is a cloud-based service. The first time you open our app, you’ll be prompted to create an account. Creating an account is easy, and our app will guide you through it. Login is done via a one-time sign-in code sent to your email address. The sign-in code is valid for 30 minutes. Once logged in, you will be prompted to set up a master password. This sets up and enables [end-to-end data encryption](https://lunatask.app/docs/getting-started/privacy) on your account. Your data is encrypted using your master password, so no one but you can access it (not even us) – don’t lose it. Your email address is the only personal information we need to provide the service to you – our servers collect nothing more. Read more about our approach to [encryption and privacy](https://lunatask.app/docs/getting-started/privacy) . More details and an official announcement are coming soon 🎉 On this page **📮 This article is meant to be shared with your organization administrators as well** Connecting your Outlook calendar with Lunatask allows you to see your calendar events directly next to your task list in Lunatask. However, depending on your organization’s policies, the integration might require approval from your organization’s administrators. info If you can’t use our native Outlook integration, please see [Alternative approaches](https://lunatask.app/docs/how-to/authorizing-outlook-integration#alternative-approaches) section at the bottom of this article. ### Why this might be needed?[](https://lunatask.app/docs/how-to/authorizing-outlook-integration#why-this-might-be-needed "Direct link to Why this might be needed?") Your organization likely has policies that prohibit anyone from authorizing unknown third-party applications to access your organization data. This is reasonable and common practice. Additionally, Lunatask is built by an indie developer registered with Microsoft Partner Center as an individual developer. Therefore, our integration can’t get “verified” status from Microsoft, as they offer publisher verification only to companies. That’s very unfortunate, and that’s why Microsoft’s authorization window might show the integration as unverified and display a warning. ### Is the integration safe to use?[](https://lunatask.app/docs/how-to/authorizing-outlook-integration#is-the-integration-safe-to-use "Direct link to Is the integration safe to use?") Yes, it is. Lunatask cares about your privacy – all communication goes from your computer directly to Microsoft servers. Your calendar data is never transmitted through Lunatask infrastructure. The app has read-only access to your calendar events and nothing else. ### How can the integration be approved?[](https://lunatask.app/docs/how-to/authorizing-outlook-integration#how-can-the-integration-be-approved "Direct link to How can the integration be approved?") There are two ways, depending on how your organization account with Microsoft is set up. First, your organization might have [admin consent requests](https://docs.microsoft.com/en-us/azure/active-directory/manage-apps/admin-consent-workflow-overview) enabled. In that case, the flow is easy, and you can request that your organization’s administrators approve (or deny) you connecting your calendar with Lunatask directly in the authorization window itself. If not, your organization administrators can allow connecting calendars with Lunatask organization-wise by granting a tenant-wide consent (see “Manually grant tenant-wide admin consent” section below). #### When admin request consent flow enabled[](https://lunatask.app/docs/how-to/authorizing-outlook-integration#when-admin-request-consent-flow-enabled "Direct link to When admin request consent flow enabled") As a Lunatask user, when signing in with your Microsoft account, you’ll be presented with a screen that will allow requesting admin consent while providing a reason why you want this consent to be given, i.e. “so I can see my calendar inside this productivity app I’m using”. This is what that looks like from your point of view: ![](https://lunatask.app/assets/images/outlook-sign-in-user-1e6980503e71a600f6315d06a1d287a5.png) When submitted, your organization administrators will be notified and can approve (or deny) the request in their Azure Portal. Here’s what that will look like in Azure AD: ![](https://lunatask.app/assets/images/outlook-sign-in-admin-f1847c36fcbb6f7f0a481d070706a99e.png) Upon approval, try connecting your Microsoft account again – this time, the integration will be authorized. #### Manually grant tenant-wide admin consent[](https://lunatask.app/docs/how-to/authorizing-outlook-integration#manually-grant-tenant-wide-admin-consent "Direct link to Manually grant tenant-wide admin consent") **Please note this guide is for Azure AD administrators only.** Lunatask is an all-in-one encrypted personal productivity application. You can learn more about it [here](https://lunatask.app/) . You can also learn more about our approach to [encryption and privacy](https://lunatask.app/docs/getting-started/privacy) . As per [Microsoft documentation](https://docs.microsoft.com/en-us/azure/active-directory/manage-apps/grant-admin-consent#construct-the-url-for-granting-tenant-wide-admin-consent) , the tenant-wide admin consent URL follows the following format: https://login.microsoftonline.com/{tenant-id}/adminconsent?client_id={client-id} Where `{tenant-id}` is your organization’s [Tenant ID](https://docs.microsoft.com/en-us/azure/active-directory/fundamentals/active-directory-how-to-find-tenant) or any verified domain name and where `{client-id}` is our application’s Client ID (its value is `41090573-3b1f-41c3-a30d-62642b12ebd9`). Now, construct the URL by substituting the placeholders for Tenant ID and Client ID, visit the page, and sign in as a user authorized to consent on behalf of the organization. Then, review the permissions and click “Accept”. Don’t worry if upon accepting “Oh no! :(” message pops up – this is expected. Now, Lunatask should be added to your enterprise applications, and you should be able to see it in Azure AD. As the last step, visit Enterprise Applications section in Azure AD, verify the app is there, click to open the application detail, and verify “Enabled for users to sign-in” is checked. Alternatively, if this flow isn’t an option, or you’re experiencing issues going through it, consider temporarily [enabling admin request consents](https://docs.microsoft.com/en-us/azure/active-directory/manage-apps/configure-admin-consent-workflow) instead. ### I need help[](https://lunatask.app/docs/how-to/authorizing-outlook-integration#i-need-help "Direct link to I need help") Whether you’re a Lunatask user or an organization admin, feel free to [send a message](https://lunatask.app/contact) and we’ll be happy to help. Alternative approaches[](https://lunatask.app/docs/how-to/authorizing-outlook-integration#alternative-approaches "Direct link to Alternative approaches") ----------------------------------------------------------------------------------------------------------------------------------------------------------- There are alternative approaches to connecting your Outlook calendar. #### Using published iCal/ics feed[](https://lunatask.app/docs/how-to/authorizing-outlook-integration#using-published-icalics-feed "Direct link to Using published iCal/ics feed") While restricting our native Outlook integration, some organizations still allow sharing your calendar via an iCal/ics feed. Then, you can try connecting your Outlook calendar by publishing your calendar feed. To do that, open Outlook’s web interface, go to _**Settings → Calendar → Shared calendars**_, and look for _Publish a calendar_ section. Select your calendar, and if your organization allows it, pick _Can view all details_ permission. In Lunatask, create a new _Other calendar (iCal/ics feed)_ integration and paste the generated link to your calendar feed. ![Outlook publish calendar settings](https://lunatask.app/assets/images/outlook-share-ical-calendar-eef6452fbce2df27e8e1684a4c9e7f9f.png) #### Syncing your Outlook calendar through another calendar[](https://lunatask.app/docs/how-to/authorizing-outlook-integration#syncing-your-outlook-calendar-through-another-calendar "Direct link to Syncing your Outlook calendar through another calendar") Alternatively, you can find a way to sync your Outlook calendar into a Google calendar and use our Google calendar integration instead. Some of our users achieved this by using [OGCS](https://www.outlookgooglecalendarsync.com/) . Others had success with [Outlook CalDav Synchronizer](https://caldavsynchronizer.org/) . What this tool does is putting what is basically CalDAV proxy/interface in front of Outlook. Use our generic CalDAV integration with this tool. * [Why this might be needed?](https://lunatask.app/docs/how-to/authorizing-outlook-integration#why-this-might-be-needed) * [Is the integration safe to use?](https://lunatask.app/docs/how-to/authorizing-outlook-integration#is-the-integration-safe-to-use) * [How can the integration be approved?](https://lunatask.app/docs/how-to/authorizing-outlook-integration#how-can-the-integration-be-approved) * [I need help](https://lunatask.app/docs/how-to/authorizing-outlook-integration#i-need-help) * [Alternative approaches](https://lunatask.app/docs/how-to/authorizing-outlook-integration#alternative-approaches) --- # How to handle long lists | Lunatask [Skip to main content](https://lunatask.app/docs/how-to/handle-long-lists#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 On this page Review old tasks[](https://lunatask.app/docs/how-to/handle-long-lists#review-old-tasks "Direct link to Review old tasks") --------------------------------------------------------------------------------------------------------------------------- If you’ve had a task in a list for months and did not touch it, consider deleting it. You shouldn’t put everything you can possibly think of in Lunatask just because it might be useful in the future. Does it still make sense to track it? Remember, if something is important, it will come back one way or another. Review your tasks (possibly using the built-in [Priority List](https://lunatask.app/docs/features/tasks/workflows#priority-list) or [Eisenhower matrix](https://lunatask.app/docs/features/tasks/workflows#eisenhower-matrix) workflows) and remove what’s no longer needed or relevant. Perhaps something can be delegated to other people and moved to `Waiting`? Alternatively, you can create a separate list (either using an area or a goal), call it “Icebox”, and then put these tasks there, so they don’t clutter your main task list. Give it structure[](https://lunatask.app/docs/how-to/handle-long-lists#give-it-structure "Direct link to Give it structure") ------------------------------------------------------------------------------------------------------------------------------ If you still have 80 relevant tasks in your `Later` section, then you have 80 tasks in your backlog – there’s no way around it, and that’s okay. The important part is using various sections and priorities cleverly so you know what is first, what comes after that, and what is later. In Lunatask, it’s up to you to give `Now` and `Next` sections (your current focus) their meaning. Try playing with what the `Now` status means to you to reduce the number of tasks in there. Having 80 tasks in the backlog is okay, whereas having 80 tasks to work on `Now` isn’t. By planning only a small number of tasks at a time, you can give a solid structure to your long task list, and can actually focus on what’s important, meaningful now in a manageable way. Plus, given that your `Later` section is always by age and priority as well, there’s already some structure in it by default. Hide what’s not actionable[](https://lunatask.app/docs/how-to/handle-long-lists#hide-whats-not-actionable "Direct link to Hide what’s not actionable") -------------------------------------------------------------------------------------------------------------------------------------------------------- After you review and clean up your task list, don’t forget to hide tasks that aren’t actionable at the moment out of sight. In Lunatask, you rarely want to have all tasks in the list shown at the same time unless you’re in the process of reviewing and cleaning up your task list. To do this, simply click the names of `Waiting` or `Later` sections to collapse them tip In the “Next to work on” overview, you can collapse certain areas the same way. Additionally, you can hide an area completely from showing up in the “Next to work on” overview in area setting. ### Using goals to hide tasks until their time comes[](https://lunatask.app/docs/how-to/handle-long-lists#using-goals-to-hide-tasks-until-their-time-comes "Direct link to Using goals to hide tasks until their time comes") The ability to change their tasks’ visibility is a great feature of goals. In the goal settings, you can switch between showing all tasks or just actionable ones belonging to the goal in the main list of tasks for the area. You can use this to hide tasks belonging to future projects or create lists to hold not yet fully fleshed out ideas without creating a separate area for them. To give an example, we might create a goal named `Backlog` in our area dedicated for work-related tasks. Then, we switch the goal’s “show in area tasks” option from `all tasks` to `only actionable tasks`. Now, all tasks marked as `Later` belonging to this goal won’t show up anywhere else in Lunatask. * [Review old tasks](https://lunatask.app/docs/how-to/handle-long-lists#review-old-tasks) * [Give it structure](https://lunatask.app/docs/how-to/handle-long-lists#give-it-structure) * [Hide what’s not actionable](https://lunatask.app/docs/how-to/handle-long-lists#hide-whats-not-actionable) * [Using goals to hide tasks until their time comes](https://lunatask.app/docs/how-to/handle-long-lists#using-goals-to-hide-tasks-until-their-time-comes) --- # Redeem discount codes | Lunatask [Skip to main content](https://lunatask.app/docs/how-to/redeem-discount-code#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 On this page We’ve taken great care to ensure your data remains private and secure – even we can’t access it, and neither does your ISP, government, or any malicious actor on the internet. The information you keep in your tasks, notes, journal, or elsewhere is end-to-end encrypted and remains completely private, accessible only to you. Protecting your privacy matters deeply to us, and our commitment goes beyond just encrypting your data. Most other apps and services – including popular ones like Todoist, TickTick, or Evernote – not only have access to your data, but also collect and track a lot of additional information about you, such as who you are, where you are, how you use their app, and more. You’re always monitored without even knowing. This makes Lunatask different from most apps – end-to-end encryption, no tracking, no data collection, no server logs. We don’t need that to provide the service to you. Info Forgot or lost your master password? [Continue here](https://lunatask.app/docs/getting-started/privacy#what-happens-when-i-forget-my-master-password) 👈 End-to-end encryption[](https://lunatask.app/docs/getting-started/privacy#end-to-end-encryption "Direct link to End-to-end encryption") ----------------------------------------------------------------------------------------------------------------------------------------- We employ encryption to give you a private space on the internet where no one can spy on you along the way – your data is none of our business. Note Encryption isn’t optional – it’s always on and automatically activated when you sign up. The data you type and enter into Lunatask is encrypted on your device before it’s sent to be securely stored in our cloud and synced across all your devices. From tasks and notes to habits, journal entries, relationship details, and so on. Secret keys generated from the password you chose during sign-up are used for encryption. We don’t have access to the private key required to decrypt your data. Even though your data is securely stored in our cloud and seamlessly synced across all your devices, no one can access it there. Even if someone got hold of it, they wouldn’t be able to read it – and neither can we. Note Given the nature of our app, our approach to encryption sits between fully unprotected apps that store your data in plain, human-readable form in the cloud (such as Todoist, TickTick, Trello, or JIRA) and highly secure vaults on the other end (such as password managers). It’s still up to you to secure and protect your own device, while we’ll take care of protecting it in the wild on the web. For added protection, you can secure your [journal](https://lunatask.app/docs/features/journal) , individual notebooks, and [relationships](https://lunatask.app/docs/features/relationships) with a four-digit PIN – available in the app’s settings. caution Given Lunatask’s complex data model and its origin story an encrypted app, creating a fully zero-knowledge app would be challenging. Therefore, other details (metadata) about a task, such as its status, priority, or assigned dates, are stored unencrypted. We have a pragmatic approach, not a paranoid one. Even if someone could follow the breadcrumbs (metadata), they still wouldn’t know what the task is about. Trying to balance security and practicality, we don’t consider a task’s status (like “In Progress”) to be sensitive information. If you’re looking for a fully zero-knowledge app, check out our friends at [Standard Notes](https://standardnotes.com/) . ### What algorithms does Lunatask use for encryption?[](https://lunatask.app/docs/getting-started/privacy#what-algorithms-does-lunatask-use-for-encryption "Direct link to What algorithms does Lunatask use for encryption?") Lunatask uses Curve25519, XSalsa20, Poly1305, and Argon2id. To avoid implementation mistakes, encryption is handled by an open-source cryptography library called [NaCl](https://en.wikipedia.org/wiki/NaCl_(software)) – a proven cryptographic solution trusted by many other encrypted apps, including Standard Notes. ### What about server-side integrations?[](https://lunatask.app/docs/getting-started/privacy#what-about-server-side-integrations "Direct link to What about server-side integrations?") Data sent to our server-side integrations is encrypted using your public key as soon as it reaches our servers – and we keep no logs. This is possible because Lunatask uses asymmetric encryption (also known as public-key cryptography). Your Lunatask account has two encryption keys – a private key and a public key. The public key can be shared with anyone (hence its name) and allows incoming messages to be encrypted and added to your account. But while used to encrypt information, it can’t be used to decrypt it. Our servers know your public key, but not the private one, enabling server-side integrations. ### What happens when I forget my master password?[](https://lunatask.app/docs/getting-started/privacy#what-happens-when-i-forget-my-master-password "Direct link to What happens when I forget my master password?") Lunatask is an encrypted app and your master password is like a key to the vault. If the key is lost, there’s no way to get into the vault. If you forget your password, the only option is to reset your account. We keep no backdoor to your encrypted data and do not know your encryption keys. After resetting your account, you can set a new master password. Your subscription won’t be affected, if you have one, but **your existing data will by nature be lost**. continue here If needed, you can reset your account at [here](https://lunatask.app/account-reset) 👈 Calendar integrations[](https://lunatask.app/docs/getting-started/privacy#calendar-integrations "Direct link to Calendar integrations") ----------------------------------------------------------------------------------------------------------------------------------------- Lunatask allows you to [connect your calendars](https://lunatask.app/docs/features/calendar) to see them directly in the app and even plan your tasks and habits into your day in between your meetings, appointments, and other duties using [time blocking](https://lunatask.app/docs/features/tasks/scheduling/time-blocking) . #### On desktop[](https://lunatask.app/docs/getting-started/privacy#on-desktop "Direct link to On desktop") After setting up the integration, our app and your device always communicate with the calendar service (e.g. Google Calendar) directly. Your calendar data is never transmitted through our infrastructure. Lunatask checks for updates and syncs your calendar events every five minutes. Changes in Google and Outlook calendars are propagated in real time. Real-time updates work via a webhook – when your calendar changes, the service notifies our servers, which relay this _“Hey, something changed”_ message to your device and our app, so it syncs the latest changes. Info All credentials and other information you enter when setting up the integration (if applicable) are also end-to-end encrypted. #### On mobile[](https://lunatask.app/docs/getting-started/privacy#on-mobile "Direct link to On mobile") While our desktop app connects directly to external calendar services via our custom-built integrations, our mobile app uses native Calendar SDKs available on iOS or Android instead. Email address anonymization[](https://lunatask.app/docs/getting-started/privacy#email-address-anonymization "Direct link to Email address anonymization") ----------------------------------------------------------------------------------------------------------------------------------------------------------- We understand if you’d rather prefer not to share your real email address. Feel free to anonymize it using tools like [SimpleLogin](https://simplelogin.io/) or [AnonAddy](https://anonaddy.com/) . Encryption of all communication[](https://lunatask.app/docs/getting-started/privacy#encryption-of-all-communication "Direct link to Encryption of all communication") ----------------------------------------------------------------------------------------------------------------------------------------------------------------------- All communication with Lunatask Cloud is protected by strong SSL encryption. We use HTTPS with modern TLS 1.3 to ensure that no one, including your ISP, can eavesdrop on any communication. Protection from data breaches[](https://lunatask.app/docs/getting-started/privacy#protection-from-data-breaches "Direct link to Protection from data breaches") ----------------------------------------------------------------------------------------------------------------------------------------------------------------- Unfortunately, attackers don’t sleep. Lunatask uses a Web Application Firewall (WAF) to analyze all traffic to our cloud. Suspicious requests are automatically blocked if unusual activity is detected. The WAF solution is provided to us by Cloudflare. info Please, [contact us](https://lunatask.app/contact) if you suspect that WAF is blocking you by mistake, such as when using our [API](https://lunatask.app/api/overview) . Where is my data stored on my machine?[](https://lunatask.app/docs/getting-started/privacy#where-is-my-data-stored-on-my-machine "Direct link to Where is my data stored on my machine?") ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- Lunatask stores its local data cache in Chromium’s IndexedDB. Chromium internally stores the content of IndexedDB in binary LevelDB files on your hard drive – whether in `Application Support` directory (on Mac) or `/Users/[user]/AppData` (on Windows). Where is my data physically stored in the cloud?[](https://lunatask.app/docs/getting-started/privacy#where-is-my-data-physically-stored-in-the-cloud "Direct link to Where is my data physically stored in the cloud?") ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- Lunatask stores its data in AWS US East 1 in Virginia, the United States. Exporting data out of Lunatask[](https://lunatask.app/docs/getting-started/privacy#exporting-data-out-of-lunatask "Direct link to Exporting data out of Lunatask") -------------------------------------------------------------------------------------------------------------------------------------------------------------------- Your data is your data, and keeping it vendor-locked wouldn’t align with our vision for Lunatask. Go here To export your data out of Lunatask, please see our article on [data export](https://lunatask.app/docs/features/import-export) 👈 Using our apps offline[](https://lunatask.app/docs/getting-started/privacy#using-our-apps-offline "Direct link to Using our apps offline") -------------------------------------------------------------------------------------------------------------------------------------------- While our apps are designed to work offline and sync once you’re back online, this is intended for temporary, short-term offline situations – such as when commuting or being on vacation. Lunatask works well offline, but it’s not a fully offline app intended for fully offline use. If you block our app from talking to Lunatask servers in your firewall, all may look fine for a few months, but then you’ll likely wake up one day, suddenly logged out of your account, and all unsynced changes will be gone. This may happen since Chromium’s built-in web storages (including IndexedDB) aren’t guaranteed to be 100% durable. In the end, Lunatask is a cloud-based service (like Todoist), so please treat it as such. Weather[](https://lunatask.app/docs/getting-started/privacy#weather "Direct link to Weather") ----------------------------------------------------------------------------------------------- We obtain our weather information from a separate provider. When fetching the latest weather information, your location is determined based on the IP address of your device using geolocation by default. tip You can override the location manually in the settings, if you want to or the inferred location is inaccurate due to your ISP’s network routing or other reasons. When you choose to override your location manually in the settings, your location is stored encrypted and added to each request for the latest weather data by our desktop app automatically. These requests aren’t directly sent to the third-party weather API, but rather they’re sent through our own servers. This is known as proxying and it prevents the third-party weather API from tracking our users. tip The weather widget can be disabled altogether in the settings. User tracking and product analytics[](https://lunatask.app/docs/getting-started/privacy#user-tracking-and-product-analytics "Direct link to User tracking and product analytics") ----------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- Most companies use in-app tracking solutions to learn how their users interact with their features and use this information to improve the product itself. However, we chose not to collect such information and rely solely on user feedback provided to us voluntarily via [email support](https://lunatask.app/contact) , on the [Idea Portal](https://ideas.lunatask.app/) , or in our [Slack Community](https://lunatask.app/slack) . More details and an official announcement are coming soon 🎉 On this page We only briefly mention the following in [our introduction](https://lunatask.app/docs/features/tasks/overview) to task management in Lunatask: tip Start with just a few areas, like “Work“ and “Personal“, and only add new ones once you’re sure you need them. For example, you might later decide to create a separate area for movies you’d like to watch so they don’t clutter your personal to-dos, but don’t try to overthink it at first. We’ll dive deeper into the topic and underlying design decisions in this article to help you choose your areas of life correctly, avoid potential issues, and understand the fundamental purpose behind them. Why “areas of life“ in the first place?[](https://lunatask.app/docs/how-to/structure-areas#why-areas-of-life-in-the-first-place "Direct link to Why “areas of life“ in the first place?") ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- Our concept of “areas of life” is built on and shaped by two intentional design decisions: Number one First is our helpful, opinionated, and guiding approach to working with tasks – whether it comes to organization or prioritization within individual task lists, or elsewhere. We avoid general technical terms (like “lists“) that don’t provide much guidance – while we could simply call them “lists”, we choose “areas of life” to be more guiding and better reflect their purpose. Number two (main reason) Lunatask was born out of our own pains and struggles with the apps we used before. There were several, but one was those apps mixing both our “Personal“ and “Work“ tasks in a single main view (usually called “Today view“). So when we then got to work, the first thing we did was pay our phone bill – unsurprisingly, as it was the easiest task to check off. But that wasn’t the reason we came to the office on Monday – those tasks simply distracted us from what we were actually there to do. There’s already a tendency to start with easy “Work” tasks to feel a false sense of progress – something particularly challenging for those with ADHD. Throwing more “easy” but “unrelated” or “irrelevant“ tasks into the mix from elsewhere only makes things worse. Why “areas of life” help, but not fully solve it?[](https://lunatask.app/docs/how-to/structure-areas#why-areas-of-life-help-but-not-fully-solve-it "Direct link to Why “areas of life” help, but not fully solve it?") ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ It comes down to how you may interpret the term “area of life” and how Lunatask means it. The problem Chores, finance, health – those are indeed areas of one's life, so you might be tempted to add those as your areas in Lunatask, but that would be a mistake, making the app harder to use. You can certainly do so if done intentionally and knowingly, but for most users, these should be [goals or folders](https://lunatask.app/docs/features/tasks/overview#goals) within a single “Personal life” area 👈 Lunatask offers an [amazing, guiding, multi-layered prioritization system](https://lunatask.app/docs/features/tasks/workflows) , but you can’t use it when competing tasks live in different areas ‼️ Use this as a general rule of thumb: If two tasks compete for the same portion of your time or attention, they likely belong in the same area 💡 How to view “areas” and choose them correctly[](https://lunatask.app/docs/how-to/structure-areas#how-to-view-areas-and-choose-them-correctly "Direct link to How to view “areas” and choose them correctly") -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- Key insight We prefer avoiding overly technical terms, but think of areas of life as _workspaces_ or _contexts_ 💡 The idea behind areas is simple – to create clear boundaries. When you’re at work, you shouldn’t be distracted by personal tasks, whereas when it’s the weekend, you shouldn’t be stressed about work. It’s simply another way our app helps guide and protect you. Our lists are designed to handle even hundreds of tasks in an organized, focused, and manageable way, so too many areas aren’t needed and could actually be counterproductive, working against you. The difference between your “Work“ time and “Personal“ time and the context switch there are clear, so let’s expand on the idea further. Choosing additional areas[](https://lunatask.app/docs/how-to/structure-areas#choosing-additional-areas "Direct link to Choosing additional areas") ---------------------------------------------------------------------------------------------------------------------------------------------------- Another scenario It’s the weekend – you spend the day working on personal tasks in your “Personal life” area, whether it’s chores, finances, or other things. In the evening, since you live with your partner, you might decide to have a movie night together. There's again a switch of context. As evening arrives, you're not giving time to “Work”. You’re no longer focusing on or worrying about your personal tasks (chores, bills, etc). You’re now dedicating time to “Movies” (and your partner, of course) – your focus has shifted. In this example, you may keep a list of films you want to watch or that friends have recommended in your “Movies” area in Lunatask, so you switch there – nothing else matters at that moment. Many of us will likely have this exact “Movies“ area in Lunatask. Real-world example Take Mike, the developer behind Lunatask. After six years of building and using the app, with 4,268 completed and 948 pending tasks in his Lunatask account at the time of writing, he still has just four areas – “Personal”, “Work”, “Movies”, “Music production”, and that’s it. On the other hand, how many [goals or folders](https://lunatask.app/docs/features/tasks/overview#goals) he has within those areas, that’s entirely a different question and answer 💡 Your areas should mirror and reflect how you structure and divide your time. In some cases, such as with “Work“, this may be dictated or shaped by external factors. Don’t overcomplicate this at first, as it may work against you. Lunatask already guides you, helping you organize and prioritize what needs to be done in more ways than one, even when there’s a lot – so add new areas sparingly, and only once you’re sure you need them. Summary When at work, your home chores aren't important. When having a movie night with your partner, your home chores aren’t relevant. During the weekend, your work isn’t relevant. When back in the office on Monday, your movies aren’t relevant, and so on – that’s how “areas of life” fit into the system 👈 When you come back from work in the evening, you switch the “workspace” in Lunatask from your separate “Work” workspace to your “Personal life” or “Home” workspace – we just call them areas of life, not workspaces, but the concept is the same. Again, use our general rule of thumb: If two tasks compete for the same portion of your time or attention, they likely belong in the same workspace – or as we call them, areas of life 👈 * [Why “areas of life“ in the first place?](https://lunatask.app/docs/how-to/structure-areas#why-areas-of-life-in-the-first-place) * [Why “areas of life” help, but not fully solve it?](https://lunatask.app/docs/how-to/structure-areas#why-areas-of-life-help-but-not-fully-solve-it) * [How to view “areas” and choose them correctly](https://lunatask.app/docs/how-to/structure-areas#how-to-view-areas-and-choose-them-correctly) * [Choosing additional areas](https://lunatask.app/docs/how-to/structure-areas#choosing-additional-areas) --- # Subscriptions | Lunatask [Skip to main content](https://lunatask.app/docs/subscriptions#__docusaurus_skipToContent_fallback) We’re working on the next major evolution of Lunatask: Lunatask 3.0. More details and an official announcement are coming soon 🎉 On this page Lunatask is a subscription-based service, with Free and Premium plans. We offer monthly and yearly payment options, as well as a [one-time buy lifetime premium](https://lunatask.app/docs/subscriptions#how-can-i-purchase-a-lifetime-premium) . tip See our [Pricing page](https://lunatask.app/pricing) for more details on our pricing and features available 👈 The following article serves as an additional dedicated FAQ for any other questions you may have and aren’t covered there. ### Can I enjoy your Free plan really forever?[](https://lunatask.app/docs/subscriptions#can-i-enjoy-your-free-plan-really-forever "Direct link to Can I enjoy your Free plan really forever?") Yes, our Free plan will always be free, forever 🥳 ### When I subscribe to Premium, will it cover all my devices?[](https://lunatask.app/docs/subscriptions#when-i-subscribe-to-premium-will-it-cover-all-my-devices "Direct link to When I subscribe to Premium, will it cover all my devices?") Yes, there’s only ever one subscription, no matter how many devices or platforms you use – we’ve never liked apps that charge separately for each one. Info Any purchase syncs instantly across all devices – no matter the platform or payment method used. ### Do you offer a trial?[](https://lunatask.app/docs/subscriptions#do-you-offer-a-trial "Direct link to Do you offer a trial?") Instead of a free trial, Lunatask employs a freemium model where the vast majority of features are available on our Free plan, with some additional sprinkles on top of them available on Premium plan. Most features available on Premium plan are showcased on this documentation portal. You can also subscribe for one month to have a go and cancel at any time. info We can’t offer you a trial even upon request, as our apps don’t implement such functionality ### Do you issue discounts for students and teachers?[](https://lunatask.app/docs/subscriptions#education-discount "Direct link to Do you issue discounts for students and teachers?") Yep! Simply request a 50% discount coupon at [lunatask.app/education](https://lunatask.app/education) . tip We also extend this discount to some non-profits or emergency workers – see the FAQ at [lunatask.app/education](https://lunatask.app/education) for more information. caution Note that discount coupons, once applied, will be active only on the plan you initially chose, as Paddle’s discount coupons don’t persist during plan upgrades or downgrades – it’s a technical limitation of our payment processor. For this reason, please **don’t press the button to “upgrade” from a monthly to a yearly plan – you would be charged full price** ⚠️ If you ever decide to upgrade (e.g. from our monthly to the yearly plan), cancel your existing subscription first, and then request a new discount coupon again at [lunatask.app/education](https://lunatask.app/education) . There’s no need to wait for the subscription to expire at the end of the period you already paid for – you’ll get your new discount coupon immediately. Once your monthly subscription eventually expires, simply create a new yearly subscription using the new discount coupon you already received – and no worries, no data will be lost in the process, in case you might wonder or be concerned about. Discounts on lifetime purchase We discontinued the option to apply student discounts for lifetime purchases some time ago to keep our numbers healthy. The lifetime plan has always been, and continues to be, popular with our users – perhaps way too popular. We’re a small self-funded operation with no external investors or influence. Although lifetime purchases are the reason Lunatask is here nowadays (they greatly supported its early development), they’re making things more complicated for us now, further down the road. It’s paradoxical in a sense. We’re really appreciative and grateful to everyone who supports Lunatask by purchasing the lifetime plan, but it’s precisely because our most loyal, passionate users and ambassadors who have been with us for a long time upgraded to the lifetime plan many years ago, and in many cases also with an education discount. For this reason, we no longer offer discounts on the lifetime plan. It was a difficult decision, but a necessary one to ensure Lunatask’s sustainable future. We didn’t want to go with a significant price increase, as we see the current price as quite fair. We also wanted to keep the lifetime option (unlike Amazing Marvin, which removed their lifetime plan altogether for the same reasons), but we had to find the right balance. We recommend going with our yearly plan if you’re a student or teacher – it’s the best value for you, while also not hurting us if you stick with Lunatask long-term. We appreciate your understanding and support for our indie project! 🌟 ### How can I purchase a lifetime premium?[](https://lunatask.app/docs/subscriptions#how-can-i-purchase-a-lifetime-premium "Direct link to How can I purchase a lifetime premium?") The option to purchase the lifetime premium for a one-time payment can be found in _**Settings → Billing**_ in our desktop app, in small text right below the pricing table. Once activated, it will automatically sync and unlock all premium features on all your devices, regardless of platform or how many devices you have. caution Lifetime purchase isn’t available in our mobile app or the Mac App Store version of our desktop app. If you’re on a Mac, please download [Lunatask for Mac](https://lunatask.app/download/mac) in a DMG format instead. If you have an existing App Store or Play Store subscription, please cancel it first by following steps in either [Apple’s documentation](https://support.apple.com/en-us/HT202039) or [Google’s documentation](https://support.google.com/googleplay/answer/7018481) . ### I’d like to make the purchase for an employee paid by the organization[](https://lunatask.app/docs/subscriptions#id-like-to-make-the-purchase-for-an-employee-paid-by-the-organization "Direct link to I’d like to make the purchase for an employee paid by the organization") If you’re able to use a company card, you can purchase a one-time buy lifetime premium directly in the app as any other user would. This option also allows you to pick a monthly or yearly subscription instead of a one-time buy lifetime premium. You can do that in person with your employee/colleague after they create an account in Lunatask or use an employee virtual credit card if your organization employs such a system. If you would like to pay by invoice, see the following item. ### Pay by invoice[](https://lunatask.app/docs/subscriptions#pay-by-invoice "Direct link to Pay by invoice") If you want to pay by invoice, [reach out](https://lunatask.app/contact) , attach the information listed below, and we’ll send you an invoice in return. This invoice can be paid either via a bank transfer or using a secure link for credit card payment each invoice contains. When we receive the payment, we’ll immediately send you a license code you or your employee/colleague can activate in the app. For issuing you the invoice, we’ll need the following information: * Organization name and address (or your name if you’re an individual) * Organization’s VAT/tax ID (if applicable) * Contact name and email address (the invoice will be sent there) We also accept Purchase Orders sent to [hello@lunatask.app](mailto:hello@lunatask.app) . Pricing A one-time buy lifetime license price via invoice is $200 (+VAT/sales tax, if applicable depending on your country of origin). For organizations based in the United Kingdom, invoices are issued in GBP for convenience at a fixed price of £150 (+VAT, if applicable). Access To Work You will need the invoice and payment confirmation from your banking to have the payment reimbursed by the UK government’s Access To Work program. Note Lunatask uses Paddle.com as a payment, invoicing and credit card processor. Unlike their competitors such as Stripe or Braintree, Paddle also serves as a reseller and Merchant of Record. The issuer listed on invoices we send to you will be _Paddle.com Market Ltd_ or _Paddle.com Inc_, and the payment will be made to their JPMorgan Chase Bank, N.A. bank account. If you want to learn more about this setup and why we use it, you can do that [in this article](https://www.paddle.com/blog/what-is-merchant-of-record) . ### I don’t want to pay via a certain payment system, is there another way?[](https://lunatask.app/docs/subscriptions#i-dont-want-to-pay-via-a-certain-payment-system-is-there-another-way "Direct link to I don’t want to pay via a certain payment system, is there another way?") We have three separate payment processors implemented in our apps, so you can choose which one you prefer or avoid one if you have a particular reason. For example, if you want to avoid Google’s payment system, there are always alternatives: * Lunatask for Windows or Linux uses Paddle as the payment processor * On Mac, Lunatask for Mac downloaded from the Mac App Store uses Apple’s payment system, whereas the Mac version downloaded from our website in DMG format uses Paddle * Lunatask for iOS uses Apple’s payment system, whereas Lunatask for Android uses Google’s one, as required and enforced by those platforms As a last resort, if you’re on a mobile platform and don’t have access to a desktop machine, we can alternatively send you checkout links for payment via Paddle, as Paddle’s checkout is done in your browser. In that case, [send us a message](https://lunatask.app/contact) , but using the desktop app is the simplest recommended approach. tip It doesn’t matter which payment system you use or which version of the app you use to make the payment. In each case, the purchase will immediately sync across all your devices once completed. ### Which countries aren’t supported?[](https://lunatask.app/docs/subscriptions#which-countries-arent-supported "Direct link to Which countries aren’t supported?") We serve customers all around the world except for the restricted countries listed below. Countries could be restricted due to international sanctions or the policies of our banking and payments partners, including various anti-money laundering regulations. For these reasons, we can’t serve customers in the following countries: * Afghanistan * Belarus * Burma (Myanmar) * Central African Republic * Cuba * Crimea (Region of Ukraine) * Democratic Republic of Congo * Donetsk (Region of Ukraine) * Haiti * Iran * Kherson (Region of Ukraine) * Libya * Luhansk (Region of Ukraine) * Mali * Nicaragua * North Korea * Russia * Somalia * South Sudan * Sudan * Syria * Venezuela * Yemen * Zaporizhzhia (Region of Ukraine) * Zimbabwe ### Do you support Family Sharing on the App Store?[](https://lunatask.app/docs/subscriptions#do-you-support-family-sharing-on-the-app-store "Direct link to Do you support Family Sharing on the App Store?") Not at the moment. ### Do you issue refunds?[](https://lunatask.app/docs/subscriptions#do-you-issue-refunds "Direct link to Do you issue refunds?") We don’t normally do. However, you can cancel your subscription anytime and enjoy the premium features until the end of the period you paid for. ### How do I cancel my subscription?[](https://lunatask.app/docs/subscriptions#how-do-i-cancel-my-subscription "Direct link to How do I cancel my subscription?") ##### Paddle subscriptions[](https://lunatask.app/docs/subscriptions#paddle-subscriptions "Direct link to Paddle subscriptions") Our Windows and Linux apps (and Lunatask for Mac downloaded from our website) use Paddle as a payment processor. To cancel your Paddle subscription, open _**Settings → Billing**_ in our desktop app and find the subscription in the list below the plans table. Each subscription in the list has a cancel button that takes you to a cancellation page. Another option is to reply directly to the email with the payment receipt you received from Paddle on your last renewal, asking to cancel your subscription. Paddle’s support team will then happily cancel the subscription for you, or [send us a message](https://lunatask.app/contact) and we can do that for you as well. Alternatively, [deleting your account](https://lunatask.app/account-delete) will also cancel your Paddle subscription automatically. ##### App Store in-app purchase subscriptions[](https://lunatask.app/docs/subscriptions#app-store-in-app-purchase-subscriptions "Direct link to App Store in-app purchase subscriptions") Unfortunately, Apple doesn’t allow canceling subscriptions directly in the app. Instead, subscriptions purchased via an in-app purchase have to be canceled in the iOS or Mac App Store settings. No worries, the process is easy – simply follow [this guide](https://support.apple.com/en-us/HT202039) from Apple. ##### Play Store subscriptions[](https://lunatask.app/docs/subscriptions#play-store-subscriptions "Direct link to Play Store subscriptions") To cancel your Play Store subscription, follow [this article](https://support.google.com/googleplay/answer/7018481) on Google’s documentation portal. ### When I delete my account, will my subscription be automatically canceled?[](https://lunatask.app/docs/subscriptions#when-i-delete-my-account-will-my-subscription-be-automatically-canceled "Direct link to When I delete my account, will my subscription be automatically canceled?") The subscription will be canceled automatically for subscriptions made in our desktop app via Paddle. For App Store and Play Store subscriptions, you must cancel your subscription manually in the iOS settings, App Store, or Play Store apps. ### Checkout always says “Something went wrong. Please try again later.”[](https://lunatask.app/docs/subscriptions#checkout-always-says-something-went-wrong-please-try-again-later "Direct link to Checkout always says “Something went wrong. Please try again later.”") We use Paddle as our primary payment processor in our desktop app. As a payment processor, Paddle has robust fraud protection systems in place, and they may sometimes trigger even when not fully justified. On its own, that isn’t fully a bad thing, but they never tell exactly what they don’t like (to you as a user, but neither to us). Instead, Paddle only displays a generic error message to you, which isn’t helpful. From our experience, it’s usually one of two things: ##### Too many failed payment attempts[](https://lunatask.app/docs/subscriptions#too-many-failed-payment-attempts "Direct link to Too many failed payment attempts") After just a few unsuccessful payment attempts, Paddle’s fraud protection systems quickly place an invisible 24-hour block on you. At this point, no matter which card you try (or if you switch to another payment method like PayPal), it won’t work for the next 24 hours – it will only extend the block by another 24 hours. Therefore, it’s important that you wait at least 24 hours before trying again. If the payment still doesn’t go through, [let us know](https://lunatask.app/contact) . We’ll reach out to Paddle to review their logs, identify the issue, and provide us with concrete information on what went wrong. We’ll then forward the information to you, but this process may take a few days. However, once the block is lifted after 24 hours, in our experience, the payment usually goes through. ##### Combination of email aliasing/anonymization and VPN usage[](https://lunatask.app/docs/subscriptions#combination-of-email-aliasinganonymization-and-vpn-usage "Direct link to Combination of email aliasing/anonymization and VPN usage") If you use a VPN in combination with an email aliasing/anonymization service, that alone can appear too suspicious to Paddle. In this case, please temporarily turn off the VPN – that often resolves the problem. However, please still wait at least 24 hours since your last payment attempt in case a temporary block is still in place for the reasons mentioned above. ##### Alternative solutions[](https://lunatask.app/docs/subscriptions#alternative-solutions "Direct link to Alternative solutions") Unless you intend to use a discount code (such as a student or teacher) and need the subscription to be processed by Paddle, you can alternatively make the purchase in our mobile app for iOS or Android, as they use Apple’s or Google’s payment systems instead. tip Any purchase syncs instantly across all devices – no matter which platform, app, or payment method you used. ### My subscription did not activate after purchase[](https://lunatask.app/docs/subscriptions#my-subscription-did-not-activate-after-purchase "Direct link to My subscription did not activate after purchase") Please [send us a message](https://lunatask.app/contact) – we’ll figure out what happened and make it right! ### I have some other issue with my subscription[](https://lunatask.app/docs/subscriptions#i-have-some-other-issue-with-my-subscription "Direct link to I have some other issue with my subscription") [Send us a message](https://lunatask.app/contact) – we’re always here to help! * [Can I enjoy your Free plan really forever?](https://lunatask.app/docs/subscriptions#can-i-enjoy-your-free-plan-really-forever) * [When I subscribe to Premium, will it cover all my devices?](https://lunatask.app/docs/subscriptions#when-i-subscribe-to-premium-will-it-cover-all-my-devices) * [Do you offer a trial?](https://lunatask.app/docs/subscriptions#do-you-offer-a-trial) * [Do you issue discounts for students and teachers?](https://lunatask.app/docs/subscriptions#education-discount) * [How can I purchase a lifetime premium?](https://lunatask.app/docs/subscriptions#how-can-i-purchase-a-lifetime-premium) * [I’d like to make the purchase for an employee paid by the organization](https://lunatask.app/docs/subscriptions#id-like-to-make-the-purchase-for-an-employee-paid-by-the-organization) * [Pay by invoice](https://lunatask.app/docs/subscriptions#pay-by-invoice) * [I don’t want to pay via a certain payment system, is there another way?](https://lunatask.app/docs/subscriptions#i-dont-want-to-pay-via-a-certain-payment-system-is-there-another-way) * [Which countries aren’t supported?](https://lunatask.app/docs/subscriptions#which-countries-arent-supported) * [Do you support Family Sharing on the App Store?](https://lunatask.app/docs/subscriptions#do-you-support-family-sharing-on-the-app-store) * [Do you issue refunds?](https://lunatask.app/docs/subscriptions#do-you-issue-refunds) * [How do I cancel my subscription?](https://lunatask.app/docs/subscriptions#how-do-i-cancel-my-subscription) * [When I delete my account, will my subscription be automatically canceled?](https://lunatask.app/docs/subscriptions#when-i-delete-my-account-will-my-subscription-be-automatically-canceled) * [Checkout always says “Something went wrong.
